Special Events Assistant Job at State of South Carolina
Assistance with booking of rental events
- Answers emails and phone calls from prospective clients
- Provides rental quotes and information to potential clients
- Gives tours of rental spaces to potential clients (scheduled or walk-in)
- May conducts sales calls to targeted groups
- May represents the museum at offsite shows to promote museum rentals
- Answers emails and phone calls from booked clients
- Manages event contract process under the direction of the Special Events Manager
- Coordinates event logistics with upcoming event vendors
- Creates event plans/layouts and distributes to staff, vendors, and clients
- Supervises and assists SCSM Building Services Staff and event vendors in the setup and breakdown of assigned events
- Serves as Person-In-Charge for events as assigned by Special Events Manager
- Utilize Events Department Software as directed by Special Events Manager
- Maintains rental client database
- Maintain vendor database
- Conducts event-related research
- Must be outgoing, self-motivated and energetic
- Must possess strong communication skills
- Must be able to work independently with limited supervision
- Must be able to maintain a regular office presence during the week
- Must be able to work early mornings, nights, and weekends (with prior notice)
- Must be able to lift heavy objects as needed
