SUMMARY

The Project Coordinator will provide project support to the USDA’s Farm Services Agency (FSA) Farm Loan Program. The successful candidate will help develop, coordinate, track, update, and report on multiple project plans. Administrative duties, such as developing and maintaining a document repository, coordinating multiple meetings and trainings, and being present for instant assistance to the project team. This will require a customer focus and solid organizational time-management skills. This position should have experience using project management principles and will report to the Program Manager, but will regularly interface and work with the client, stakeholders, and other staff. Washington, DC area-based candidates will be preferred.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following. Other duties may be assigned.

Demonstrates sound understanding and integration of Office365 software and the following:

  • Excel – Highly Proficient; Data organization and advanced calculations.

  • OneNote – Highly Proficient; Tagging and sharing of key data from Project meetings.

  • SharePoint – Basic Proficient; Routine updates of Project artifacts on internal SharePoint site.

  • Outlook – Highly proficient; Manage communication flow, contact list and deadlines.

  • Word – Advanced; Track changes and manage document development.

Interfaces with top government officials and internal executives to support ongoing project needs.

Understands government contract management processes, including contract deliverables, performance work statements, and statement of work components.

Coordinates schedules, meetings, focus groups, trainings and more.

Liaise with stakeholders to document project requirements, scope and objectives.

Acts as the point of contact and communicates project status updates and reports.

Identifies processes to improve efficiency and communications.

Assists and supports clients and stakeholders on projects and daily business needs.

Creates and maintains comprehensive project documentation, plans and reports.

Establishes and maintains a secure filing system, ensuring documentation/information is current and can be readily accessed by stakeholders.

Interfaces with internal project teams, management, customers and other customer stakeholders.

Organizes and coordinates staff and other meetings, including preparing materials pertaining to agenda items, following up with staff members regarding status of action items, etc.

Maintains timely and prompt communications with project team and develops collaborative rapports with solutions-oriented approaches.

Works with others on project scope, deliverables, quality and resources. Coordinates on special projects as assigned.

Communicates project plans, objectives, timelines, schedules, job assignments, responsibilities and reporting relationships to appropriate stakeholders such as the client, or their designees.

Identifies potential risks and assists PM to develop contingency plans and assists in managing project scope.

Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

Plans daily activities within the guidelines of company policy, job description, and supervisor’s instruction in such a way as to maximize personal output.

Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers. Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources. Will immediately correct any unsafe conditions to the best of own ability.

Promotes and encourages a culture of compliance with all applicable rules (federal, state, local, Federal Acquisition Regulations, Code of Federal Regulations, Prime Contract requirements, etc.) for themselves and the company as a whole. Fosters an environment in which they will r eport any violations or reasonably suspected violation of CNI policy, FAR, and/or CFR and are comfortable discussing the myriad compliance, conflict, FAR, CFR, etc. issues that arise during the performance of a government contract.

EDUCATION / EXPERIENCE

Bachelor's degree in a related field of study and a minimum of five (5) years’ relevant experience supporting projects and programs, or equivalent combination of education / experience.

Farm Loan Programs or large government agency experience a bonus but not required.

CERTIFICATES / LICENSES / REGISTRATION

Certified Associate in Project Management (CAPM) or Project Management Professional (PMP), certification a bonus but not required.

Skilled proficiency in collecting, compiling, editing, analyzing, and presenting data.

Excellent supervisory and management skills with ability to resolve conflicts, grievances, confrontations, or disagreements in a constructive manner.

Ability to read, analyze and interpret common scientific and technical journals, financial reports and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to write speeches and articles for publication that conform to prescribed style and format. Ability to effectively present information to top management, public groups, and/or boards of directors.

MATHEMATICAL SKILLS

Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.

REASONING ABILITY

Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

The pay range for this role is $25.77 - $32.21 per hour, with the final offer amount dependent on location, skillset, and experience.
