Coordinate and Schedule all Procedures and tests as directed by Providers. Act as a liaison between physician, patient, central scheduling and GI Lab/OR. The intent of this job description is to provide a summary of the major duties and responsibilities of this position and shall not be considered as a detailed description of all the work requirements that may be inherent in the position.
ESSENTIAL FUNCTIONS:
  • Acts as a liaison between the GI Lab/OR, Central Scheduling, Physician, Patient, Practice Staff, and SLPG Clinic Staff (for Clinic Patients) to efficiently schedule and coordinate all ordered procedures and tests.
  • Schedules lab and operating room time, according to physician scheduling and campus protocols. Maximizes scheduling opportunities
  • Obtains precertification/preauthorization from insurance companies as necessary.
  • Facilitates Peer to Peer denial for tests/procedures (between Physician and Insurance Company)
  • Verifies patient eligibility and coverage for the procedure; if patient is not eligible on date of service, or procedure is not a covered benefit, explains this to patients.
  • Arranges and coordinates special equipment purchase or lease for identified procedures
  • Discusses pre-operative instructions with the patient, as directed by physicians.
  • Assists patients with setting up payment plans, and collects pre-surgical deposits.
  • Assists patient in arranging all appropriate pre-operative tests and blood work. Ensures patient has orders and instructions to complete necessary tests.
  • Develops and maintains checklists for protocol/process for scheduling process for all Procedures. Follows protocol and cross trains other staff members to assist in the scheduling process when necessary (vacation/sick coverage)
  • Coordinates all business and clinical paperwork prior to surgery, using physician-approved forms and checklists; has paperwork ready for surgeon prior to the day of surgery.
  • Maintains accuracy of schedules at all campuses for all Providers.
  • Demonstrates problem solving in prioritizing and scheduling urgent cases
  • Maintains confidentiality of all materials handled within the Network/ Entity as well as the proper release of information.
  • Complies with Network and departmental policies regarding issues of employee, patient and environmental safety and follows appropriate reporting requirements.
  • Demonstrates/models the Network’s Service Excellence Standards of Performance in interactions with all customers (internal and external).
  • Demonstrates Performance Improvement in the following areas as appropriate: Clinical Care/Outcomes, Customer/Service Improvement, Operational System/Process, and Safety.
  • Demonstrates financial responsibility and accountability through the effective and efficient use of resources in daily procedures, processes and practices.
  • Complies with Network and departmental policies regarding attendance and dress code.
OTHER FUNCTIONS
  • Responds to written and telephone inquiries from patient and carriers regarding planned surgeries
  • Maintains open and updated communication among the physician, patient, insurance company and hospital
  • Maintains detailed knowledge of practice management and other computer software as it relates to job functions
  • Attends continuing education courses as requested
  • Attends all regular staff meetings
  • Other related duties as assigned
PHYSICIAL AND SENSORY REQUIREMENTS:
Work may require sitting for long periods of time, and also stooping, bending and stretching for files and supplies. Employee may occasionally be asked to lift files or paper weighing up to 30 pounds. Position requires manual dexterity sufficient to operate a keyboard, operate a computer, telephone, calculator, copier, and such other office equipment as necessary. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts. Position also requires viewing computer screens and typing for long periods of time, and working in an environment, which can be very stressful.
EDUCATION: High school diploma required. College education or trade school preferred. Medical Assistant a plus.
TRAINING AND EXPERIENCE: Minimum twelve months experience working in a physician group practice billing department. Comfortable using email and interacting with computer applications. Knowledge of practice management and word processing software. Ability to perform multiple and diverse tasks simultaneously. Must have a neat and professional appearance. Strong written and verbal communication skills and cheerful attitude. Able to enter data into the computer system accurately.
WORK SCHEDULE: Day, middle or night shift with varying hours based on the needs of the department.
