Plastic Surgery is seeking a full time Patient Services coordinator to greet clients as they arrive at the office, or over the telephone.

OVERVIEW: The Patient Services Coordinator is responsible for assisting customers both in person and on the telephone. The Patient Services Coordinator also ensures that all customers perceive their experience at Charlotte Plastic Surgery to be one of warmth, responsiveness, and attention to their needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Customer Service

  • Greets all patients and visitors entering CPS with a smile and warm welcome.
  • Assists all visitors and patients as needed to make their visit efficient and comfortable.
  • Notifies physician or staff member when a visitor arrives and is waiting.
  • Responsible for all aspects of the patient check-in process, including: verifying and updating patient demographic and insurance information, processing no-shows, and marking schedules with arrival or cancel / no show / reschedule information.
  • Answers incoming phone calls warmly and efficiently. Establishes the needs of the caller and directs the call to the appropriate personnel or department.
  • Ensures demographic information is correct.

Administrative Support

  • Utilizes the practice management software system and electronic medical record system by following established office procedures.
  • Assigns incoming sales leads.
  • Ensures patient loyalty program points and monies are applied correctly.

Financial Support

  • Collects appropriate fee for visit as well as prior balances and payment on accounts, if necessary.
  • Enters charges and receipts into practice management system at time of service.
  • Enters no charge visits.
  • Responsible for the integrity and safety of the cash drawer. Secures cash and credit card information at all times.
  • Balances daily charges and receipts and prepares deposit summary for business office.
  • Miscellaneous
  • Establishes and maintains effective working relationships with patients, co-workers and physicians
  • Ensures that lobby is clean and neat.
  • Works evening hours when necessary and as available.
  • Other duties as assigned.

SUPERVISORY RESPONSIBILITIES:

  • This job has no supervisory responsibilities.

EDUCATION, EXPERIENCE, and TRAINING:

  • High school diploma or general education degree (GED); and one to three months related experience and/or training; or equivalent combination of education and experience.
  • Previous aesthetic experience preferred.

Job Type: Full-time

Pay: $17.00 - $20.00 per hour
