ESSENTIAL DUTIES AND RESPONSIBILITIES:

- Ability to give adequate direction to staff Recruits and hires qualified customer service and medical records staff in a timely manner in order to maintain adequate staffing patterns and ensure a high degree of customer satisfaction
- Monitors and evaluates customer service representatives and medical records staff performance and initiates appropriate disciplinary action as needed. Gives direction and coaches staff in order to meet unit goals.
- Identifies and reports process inadequacies to appropriate Process Managers and Program Directors for resolution
- Assumes responsibility for maintaining an environment that is inviting and receptive to the needs of the consumers and staff
- Generates reports and collects data at the request of Program Manager or Administration
- Responsible for the access to facility, including the issuance of facility keys and codes. Opens and closes the facility
- Provides additional training or coaching to staff when appropriate to improve or resolve problems.
- Balances cash collections at the end of the day and deposits cash collections daily. Responsible for all DMS cash on unit.
- Maintains the sites petty cash fund, including required documentation and requests for replacement
- Maintains computerized appointment system for unit. Ensures daily unit schedules
- Responsible for ensuring coverage and providing back up support for customer service reps and medical records staff
- Performs general office duties as directed by Program Director
- Serves as the unit Safety Officer, attending monthly meetings, reporting unsafe conditions, performing periodic safety inspections, and incident reporting regarding accidents or injuries on site.
- Acts as liaison between IS and clinic staff, including Super User functions for automated administrative functions and reporting persistent or unsolvable problems via MIS procedures.
- Maintains time and attendance records for each staff person on the unit; obtains necessary leave requests and signatures for staff who have been out; submits payroll information by noon on the Wednesday before pay week accounting for all staff time.
- Performs or secures notary functions for agency-related business, as necessary.
- Prepares Purchase Orders and Check Request for purchases and/or payments
- Maintains inventory of all supplies.
- Implements and Maintains processes and procedures as determined by DMS Process Managers, anticipates problems and recommends solutions
- Meets designated benchmarks and/or quality measures

QUALIFICATIONS
EDUCATION AND EXPERIENCE:
- Bachelor degree with 2-3 years job specific experience or high school graduate with some college or technical school/training with 5-6 years of progressive customer service experience required. Supervisory experience preferred. Experience in a community based MH setting preferred.
MATHEMATICAL SKILLS:
- Basic math skills required.
REASONING ABILITY:
- Ability to apply common sense understanding to carry out simple one or two-step instructions. Ability to deal with standardized situations with only occasional or no variables.
COMPUTER SKILLS:
- Use computer, printer, and software programs necessary to the position (i.e., Word, Excel, Outlook, and PowerPoint).
- Ability to utilize Internet for resources.
CERTIFICATIONS, LICENSES, REGISTRATIONS:
- Current State of Texas Driver License or if you live in another state, must be currently licensed in that state. If licensed in another state, must obtain Texas Driver License within three (3) months of employment.
- Liability insurance required if employee will operate personal vehicle on Center property or for Center business. Must be insurable by Centers liability carrier if employee operates a Center vehicle or drives personal car on Center business. Must have an acceptable driving record.
