GENERAL PURPOSE: Under general supervision, coordinates the maintenance and set-up of City facilities for large and complex events; coordinates event activities with clients, and supervises assigned staff.


PRIMARY
DUTIES AND RESPONSIBILITIES:

  • Contacts special event clients to review facility set-up and technical requirements; identifies problems and resolves customer service issues within scope of authority and training.
  • Inspects special event facility, cleans as needed, and replenishes supplies.
  • Sets up facility according to checklist of client specifications; tests and operates sound and light systems and other technical specifications.
  • Meets with client at event site, evaluates event set-up, and coordinates with client to resolve issues and make changes to venue to meet client needs.
  • Administer and enter event information in the "Reserve" software.
  • Order linens as needed for events.
  • May supervise and train other employees on receiving calls and scheduling events.
  • Sets up walk-throughs and meets with customers to determine the needs for their event.
  • Attends to client needs during event in a responsive, professional and customer-friendly manner.
  • Coordinates and trains assigned City staff and temporary workers, and tracks and reports work hours.
  • Oversees environmental and HVAC controls for facility, and tracks utility usage.
  • Cleans facility after event, cleans and stores furniture and equipment, performs needed repairs and maintenance tasks, and closes and secures facility buildings.
  • Maintains equipment, furniture and facility assets, and documents deficiencies.
  • Utilizes proper safety precautions in all work performed; reports problems, accidents and emergencies.
  • Cleans up spills and unsafe conditions in a timely manner and according to procedures.
  • Controls venue to assure that safety rules and regulations are adhered to.
  • Cleans and maintains tools and equipment in accordance with all safety regulations and procedures.
  • Hours: Minimum of 40 hours per week, to include nights, weekends, and holidays; occasional standby and overtime required.
  • Regular and timely attendance is required.
  • Other duties as assigned.


MINIMUM QUALIFICATIONS:


Education and Experience:

High School Diploma or equivalent; and three years' experience in special event management, preferably with the City of San Angelo; or an equivalent combination of education and experience. Three years' experience in supervising small work groups preferred. Some college course work is preferred.


Required Licenses or Certifications:

  • Must possess a valid driver license with a good driving record.
  • Applicants with an out-of-state driver license must provide an original certified driving record from the state of driving licensure.


Required Knowledge of:

  • City policies and procedures.
  • Special event management principles and techniques, including contract management, safety, security, and crowd control.
  • Methods, materials and equipment used in building maintenance.
  • Special event lighting and sound equipment, and maintenance and repair techniques.
  • Effective customer service methods and techniques.


Required Skill in:

  • Effectively managing special events and delegating tasks and authority.
  • Customer Service.
  • Interpreting customer needs and solving customer service issues.
  • Assessing and prioritizing multiple tasks, projects and demands.
  • Establishing and maintaining cooperative working relationships with co-workers and event promoters.
  • Performing light maintenance and repair on light and sound equipment including mixers, amplifiers, microphones, speakers, computers, power systems, and other stage equipment.
  • Promoting and enforcing safe work practices.


Physical Demands / Work Environment:

  • Work is performed indoors and outdoors in civic center/activity center environments.
  • Subject to sitting for extended periods of time, standing, walking, bending, reaching, and lifting of objects up to 25 pounds.
  • Exposure to potentially hostile members of the public is involved.
