Description:Walton Isaacson, LLC’s VP, Head of Operations (HOPS) is a functional leader reporting into the CFO of an award winning advertising agency. The Vice President of Operations will plan, direct, coordinate, and oversee operations activities in the organization, ensuring development and implementation of efficient operations and cost-effective systems and tools to meet current and future needs of the organization. As we are a fast paced and growing Agency we’re looking for a leader with deep experience in optimizing current workflows and implementing new processes and tools that will be scalable.
The HOPS ensures teams are properly skilled and deployed to meet the client team needs. They also provide deep and meaningful analysis and evaluation of agency operations that is easily understandable, digestible, and adaptable. The HOPS will work in concert with the EVP, Managing Director to define best practices & standards to scale relationships across clients. This could include team hierarchy, skills assessments, workflows, & resourcing, among other items.
Responsibilities and Essential Functions:
Lead Project Management to transformation:
- Set the vision, goals, and measures of success for the function and project readiness.
- Apply a structured approach to project management, identifying key deliverables based on business requirements, managing client expectations, and directing the achievement of the project goals.
- Develop strategic plans for the onboarding of new business/clients.
- Support timely feedback on project deliverables (OWNS KAIZEN PROCESS)
- Review existing workflow and processes, wherever necessary establishing newer approaches, to ensure alignment to strategies, roadmaps, and standards.
- Demonstrating astute insight into what matters to different groups of leaders with shared opinions, initiating intra-business collaboration to bring together different perspectives and fresh thinking.
- In partnership with the IT Director, oversee agency collaboration tools and technology to maximize the performance of the teams. Develop implementation and adoption plans of processes and tools
- Collaborates with other divisions and departments to carry out the organizations goals and objectives.
- Identifies, recommends, and implements new processes, technologies, and systems to improve and streamline organizational processes and use of resources and materials.
- Ensures that departmental decisions and project plans such as those for staffing, development, organization, material efficiency, hardware acquisitions, and facilities are in line with the organizations business plan and vision.
- Establishes, communicates, and implements operations-related policies, practices, standards, and security measures to ensure effective and consistent support and execution.
Creative and Production Operations:
- Oversee creative resourcing under the guidance of Executive Creative Director, Head of Strategy, and Head of Production.
- The HOPS will partner with the Head of Talent Acquisition and Retention to help build and foster a rolodex of freelancers to help support new business and short-term resource needs as well as identify long term staffing patterns and workflows that lead to cost efficiencies and improved work quality.
Building Scopes, Tracking and Reporting:
- In partnership with the Business Leads, the SHOP is responsible for the staffing portion of the scoping process to facilitate business scaling for growth.
- Building out budget, assumptions, and resourcing plans for all necessary projects, and enforcing time tracking process to articulate burn rate for the CFO and Managing Director.
Requirements:
- Bachelor’s Degree in Business Administration or related field.
- Advanced degree (MBA, Master’s) preferred.
- 10+ years of hands-on project management and/or resource management in Advertising Agency ops
- 5+ years of people management experience, leading a team of at least 6 direct reports.
- Experience working with C-Suite, CEO and CFO and/or executive teams to provide consultative points of view and best practices.
Preferred Qualifications:
- PMI/PMP Certification or enterprise-level project management experience preferred.
- Proficiency using Windows/PC
- High degree of proficiency in MS Office Suite (Excel Ninja), Outlook & Internet applications.
- Strong analytical, prioritizing, interpersonal, problem-solving, presentation, budgeting, project management (from conception to completion), & planning skills.
- Strong verbal and written communication skills including ability to connect and motivate a large team (including analysis, interpretation, & reasoning).
- Travel required.
