Summary:

TCS brings guests to destinations all over the world, working with local luxury hotels and destination management companies (DMCs) to provide touring, outstanding events, accommodation, food and beverage, and other experiences in each destination.

The Trip Budget Specialist’s core responsibility is to handle TCS’ trip budgeting tool in Excel, making sure they remain accurate and up to date.

What you will be doing:

  • Update TCS financial Dashboard each time a trip is announced: add new trip information and link it to other spreadsheets.
  • Build trip budgets:
  • Collect data saved on our network and enter relevant prices from different sources: hotel contracts, request for proposals, invoices…
  • Enter and format the data into an Excel spreadsheet, adding links and formulas.
  • Make pricing estimates when needed.
  • Ensure all cost items have been accounted for.
  • Update budgets as needed throughout the trip planning process.
  • Set up meetings with stakeholders to review their budget sheets. Discuss improvement goals and how to reach them.
  • Act as the Project Manager for the trip budgeting process:
  • Manage simultaneously 40+ budget sheets: set priorities, establish deadlines for finalization, review, etc…
  • Propose ways to optimize the tool and increase the accuracy of our forecasts.
  • Compare budgeted to actual spending and explain large variances.
  • Implement budgeting changes where needed.

What we are looking for:

  • Demonstrated ability in a similar role. Previous work experience in the tourism industry, catering or event planning would be ideal
  • Shown success managing budgets and projects.
  • Sophisticated Microsoft Excel skills. Knowledge of other technical software such as Agile, SQL, Tableau would be a plus.
  • Confident making financial forecasts with limited information.
  • Comfortable managing spreadsheets with large amounts of data.
  • Thrive in with fast-paced, demanding environment. Must manage multiple tasks and balance several urgent demands at any given point, while adapting to changing priorities.
  • Ability to troubleshoot and identify opportunities for improvements.
