Guilford College invites applicants for the position of Transcript and Information Specialist. The Transcript and Information Specialist is responsible for processing and managing data that supports effective student and institutional record keeping. They compile and assist with the analysis of data required for regular and ad hoc reporting, assist with the process of course evaluations and other surveys; and assist with the collection, review and organization of required documents from various departments and divisions. In addition, this individual works with student records for individuals transferring credits into Guilford College (dual enrollment, transfer and graduate students) as well as supports their onboarding. The successful candidate will interpret student needs, provide individualized articulation of courses for credit, assist students in finding services, and help them make the connections needed upon entering the college.

  • Collect and organize data and information from various sources
  • Analyze and report internal and external information
  • Assist with the course evaluation process each semester
  • Assist with assessment and accreditation processes of the institution
  • Carry out other duties as assigned
  • Maintain confidentiality related to students and institutional records.
  • Work collaboratively with various offices to collect, interpret, and manage information (admissions, registrar’s office, advisors, academic departments, etc.)
  • Evaluate our processes and recommend ways they can enhance the user’s experience (especially for students, but also for faculty and staff)
  • Review and articulate transcripts for students transferring credits into the College, whether they are dual enrollment, transfer credits, or undergraduate records.

Minimum Qualifications
Minimum Skills and Qualifications:
  • Bachelor’s degree.
  • Excellent oral and written communication skills; ability to interact well with a diverse community of students, staff, and faculty.
  • A minimum of three years full-time experience in higher education.
  • Experience with reviewing data according to reporting requirements and policies.
  • Experience with systems supporting student records, transcript review, and academic advising.

  • Ability to complete tasks under significant time constraints and balance multiple projects simultaneously.

Preferred Qualifications
Preferred Qualifications:
  • Master’s degree preferred
  • Experience with Student Success Management System (SSMS) for higher education, such as Navigate, and CRM for admissions and enrollment management such as Slate
  • Highly organized and detail oriented


Proficient with:
  • Google Suite (email, docs, sheets, calendar, etc.)
  • MS Office Suite (Word, Excel, Publisher, PowerPoint, etc.)
  • Adobe Acrobat
  • Relational database management system such as Ellucian Banner, Workday, CourseLeaf

Physical Requirements
Physical Requirements:
  • Must be able to sit for long periods, maneuver the campus grounds during all
seasons, and possess the manual dexterity to operate a computer for prolonged periods of time.
  • This is generally a sedentary position.
