- (3238318)GENERAL SUMMARY/ OVERVIEW STATEMENT:
This position assists the PI and Program Manager in all aspects of their management of the office. Under the direction of the PI and Program Manager, the position is responsible for providing administrative support, including scheduling and coordinating calendars, drafting agendas, submitting travel expense reports, purchasing and database management, and editorial assistance with publications and grant applications. Must possess knowledge office information systems as well as understanding of the organization, programs and procedures. Requires discretion and judgement to organize priorities, complete tasks and handle confidential information.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Assists the Program Manager with preparing and submitting travel expense reports.
- Schedule requested recurring and one-time meetings.
- Reserve conference rooms for meetings.
- Coordinate the submission of all purchase orders for cores and research projects.
- Resolves purchasing issues with Contracts and Material Management.
- Coordinates repairs and replacement equipment for office.
- Calendar management for Director
- Gives administrative support to the Principal Investigator.
- Assist with scheduling scanner scheduling
- Edits manuscripts, grant applications and letters of recommendation
SKILLS & COMPETENCIES REQUIRED:
- Excellent attention to detail.
- Excellent computer skills (including word processing, database, electronic mail, internet and spreadsheets) required.
- Strong organizational skills and the flexibility to handle multiple tasks and deadline pressures.
- Ability to handle sensitive and confidential information.
- Independent judgment and problem-solving skills.
