Position Summary: The role of the Staff Accountant is to assist with the payroll, monthly and fiscal close, and government reporting requirements for the Business & Finance Department.
Major Responsibilities/Activities:
- Prepare and submit expense reports for various funding sources including, but not limited to, Erie County Department of Social Services, NY State Office of Victims Services (OVS), and NYS Office of Children and Family Services (OCFS).
- Responsible for processing one of the organization’s payrolls accurately and timely on a biweekly basis.
- Assist senior payroll accountant in providing backup to other payroll activities.
- Maintain employee confidentiality at all times.
- Prepare monthly reconciliations and journal entries of various accounting activity.
- Maintain capital and operating leases schedules.
- Assist with recording fixed asset activity and maintaining subsidiary ledger.
- Assist in the preparation and monitoring of the Agency’s operating and capital budgets.
- Monitor inventory and advance account activity.
- Track, record and reconcile prepaid accounts.
- Assist in the monthly and fiscal financial close.
- Models and practices sensitivity, fair treatment, and acceptance of diversity in all interpersonal interactions.
- Participates and contributes to department quality improvement processes.
- Utilize Agency phone and email systems following standard customer services protocol. This includes: answering the telephone in a timely and professional manner, and returning phone and email requests promptly. Demonstrate excellent phone etiquette and customer service skills.
- Demonstrate knowledge of agency programs and services.
- Must maintain and submit all of the required documents and comply with all aspects of the Vehicle Safety and Usage Policy.
- Maintain positive working relationships with program staff and others within the agency.
- Demonstrate strong interpersonal skills during interactions with internal and external customers.
- Possess reliable transportation.
- Other duties as assigned.
Minimum qualifications:
- Bachelor’s degree in accounting
- Prefer 2 to 3 years’ experience in accounting practice, payroll a plus
- Strong analytical, time management, problem-solving, and written and oral communication skills
- Good knowledge and understanding of Generally Accepted Accounting Principles
- Technology savvy
- Knowledge of Sage MIP Fund Accounting, UKG payroll software, beneficial
- Proficient in Microsoft Office software
Essential Physical Requirements:
- Must be able to remain stationary (at the work station) for the majority (95%) of his/her work shift.
- Constantly operate a phone system, computer, and other office machinery, such as a fax machine, copy machine, calculator, postage machine, etc.
- Frequently communicate accurate information with coworkers, clients, and children who will use the agency’s services.
- Occasionally move office materials weighing up to 20 pounds across the office.
- Must be able to access multi-level buildings.

- Must be able to understand the written and spoken word and respond effectively during the majority of time spent on the job.
- Must be able to learn and comprehend basic instructions and orientation to job.
- Must be able to multi-task on a frequent basis.
- Frequently participate and coordinate with others regarding work situations and decisions.
- Frequently interact appropriately and diplomatically with varied stakeholders such as volunteers, staff members, visitors, referral sources, etc.
Equipment Used:
- Computer Usage: UKG, Microsoft Excel, Microsoft Outlook, MIP accounting software, Microsoft Word, telephone, and copier.
Environmental Working Conditions:
- Multi-level buildings with stairs, enclosed office environment.
