Research Administrator II
Directed by Ofer Levy MD, PhD, the Precision Vaccines Program (PVP) at Boston Children’s Hospital, is an academic research program employing multi-disciplinary approaches to discover and develop next-generation vaccines tailored to vulnerable populations. Supported by NIH, foundation, industry, and philanthropic funding, our basic and translational research advances novel vaccines and therapeutics for infectious diseases such as coronavirus, influenza, respiratory syncytial virus (RSV) and human immunodeficiency virus (HIV) that affect vulnerable populations including infants, older adults, those with comorbidities, and the immunocompromised. We are also working on a vaccine to protect against opioid overdose deaths.
The PVP team is composed of experts in administration, vaccinology, clinical trials, immunology, molecular biology, data management, biostatistics, bioinformatics, and systems biology. We foster international collaboration among academia, government and industry to advance translation and achieve our mission.

In support of the PVP, the Research Administrator II will:
- Perform complex pre-award and post-award functions for all federal and/or state grant funds, private foundation grants, subcontracts, discretionary and endowment funds, and/or any other sponsored funds under the general direction of the PVP Administrative Lead.
- Coordinate program research effort reporting and ensures timely submission of certified effort reports in compliance with sponsor and institutional guidelines. Using institutional resources to maintain program’s records of grant awards and agreements.
- Collaborate with Department Administrator and central administrative offices to represent the needs of the Research Faculty.
- Assist with the grant application process, ensuring overall compliance and timely submission.
- In coordination with the Administrative Lead and/or Sr. Research Administrator, establish departmental policies, systems, and procedures to monitor research purchases and day-to-day spending.
- Perform financial analysis on grants including but not limited to forecasting and communicating results to Principal Investigators.
- Work with investigators to develop annual research/clinical trial budget; reconciling monthly expenses to budget; forecasting over/under expenditures and providing monthly status reports to the Principal Investigators.
- Ensure timely renewal of grants and subcontracts and/or orderly closeout of completed sponsored activities, including the generation and submission of annual progress reports.
- Attend institutional training to keep skills current and knowledge up-to-date on sponsor regulations, Hospital policies and emerging technologies.
Requirements:
- Bachelor’s degree and 4 years of research administrative experience required OR 6 years of research administrative experience..
- 4 or more years and a master’s or post-bachelor certification in management, business, finance, or research administration preferred.
- Experience submitting large consortium awards involving multiple domestic and foreign sites and clinical trials. PVP awards include but are not limited to, U19s, P01s, cost-reimbursement federal contracts averaging $2 million in total costs per year, and industry-sponsored contracts.
Knowledge and Skills:
- Understanding of federal cost allocation principles to ensure the proper stewardship of sponsored funds.
- Strong verbal and written communication skills to effectively resolve issues and mediate fair solutions.
- Proficiency with Microsoft Office and database applications.
- Seek out answers from the appropriate federal compliance and regulatory resource(s), grant publication, and/or the hospital technical expert(s).
