Position Summary:
The ideal candidate will be experienced in handling a wide range of support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible, have strong interpersonal skills, balance the multiple priorities of supporting senior managers and, at the same time, enjoy a small office environment. Also, needs the flexibility to handle personal assistant responsibilities.
The successful candidate must have the ability to interact with a wide range of people from office staff to executives in a dynamic environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient. A high level of professionalism, confidentiality, and judgment is crucial to this role. Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important. Level and salary commensurate with experience.

Essential Job Functions:
  • Manage heavy calendar movement within MS Outlook, requiring interaction with both internal and external executives and assistants to coordinate a variety of meetings
  • Answer phones, screen and direct all incoming calls; screen voice mail messages
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
  • Arrange all travel plans and reservations (including complex itineraries), prepare itineraries including making schedule adjustments while trips are in progress
  • Handle all incoming and outgoing mail
  • Prepare and edit of letters and basic PowerPoint and spreadsheet files
  • Coordinate office events – Town Hall meetings, Christmas party, etc.
  • Handle additional projects as assigned

Minimum Qualifications
  • 8 years of experience
  • Excellent calendar management skills for multiple executives
  • Efficient communication and interpersonal skills is critical
  • Experience assisting management with the creation of PowerPoint presentations
  • Strong knowledge of MS Office, including Word, Outlook, Excel, and PowerPoint
  • Physical requirements and working conditions: Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, stamina to maintain attention to detail despite interruptions, strength to lift and carry items weighing up to 20 pounds; vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephone.

Preferred Qualifications
  • Bachelor’s Degree
  • Ability to manage flexible work hours and after hour requirements
  • Prior oil and gas experience with an understanding of oil and gas operations and terminology
