Sales Support Specialist Job at Duravant

The Sales Support Specialist is responsible for the coordination and management of retrofits projects, change orders, and special projects as well as the management of high priority customer accounts and general administrative support.
Essential Responsibilities:
Retrofit Order Management:
- Order entry and submittal into Epicor for all new retrofit orders and management of all sales order activities.
- Work with Sales Professional on Spec Development for all new retrofit orders.
- Submit new approved retrofit order specifications to Applications for budgeting and drawing.
- Submit new retrofit order specs to Production for scheduling.
- Provide regular updates to internal and external customers during the order process.
Retrofit Project Coordination:
- Coordinate projects from initial customer order, releasing drawing and budgets through an Acceptance Testing.
- Manage deliverables to the project through: Manage project phases: Scope acceptance, planning and priorities, budgeting, timeframes, cost control, resources, and delivery.
- Ensure project is on schedule, within budget and within customer specifications by proactively identifying and managing changes in project scope, identify potential problems, and devise contingency plans.
- Prepare weekly/monthly project status reports, financial forecasts, and projections.
Change Order Coordination:
- After change order is approved, review and enter change order in Epicor system.
- Manage and coordinate change order from order entry, releasing and scheduling change order, acceptance testing to delivery of parts and solution.
- Ensure change order are on schedule, within specifications by proactively identifying and managing changes in change order scope, identify potential problems, and devise contingency plans.
- Coordinate teams involved to ensure full coordination of deliverables by leading meetings, providing change order updates to customers and internal teams, and providing issue resolution, etc.
- Communicate teams of time, budget variances, or technical issues before they occur.
- Prepare weekly/monthly status change order reports.
- Establish a strong relationship with customers (end user and/or distributors) from change order initiation, frequent communication about change order progress, production issues, delays, and delivery of the solution.
- Coordinate timing and deliverables for preventative maintenance, shipping of materials.

Position Requirements:
- Minimum 2 years’ experience in Administration preferred
- Experience working with MS Office suite including Excel and Word
- Experience with ERP and Salesforce highly desired
- Excellent written and verbal communication skills
- Project coordination experience including collaborating across different functional teams
- Experience establishing and fostering strong relationships with customers and end users
Physical Requirements:
Frequently required to sit, stand, walk, talk, or hear; uses hands to finger, handle, or touch objects or controls. On occasion, may be required to climb and work in high places, stoop, bend or reach above the shoulders. The incumbent must occasionally lift, push, or pull up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
Work Environment:
The position is an office-based position with visits to the manufacturing area. In the manufacturing area, employee may be exposed to moving mechanical parts and may occasionally be exposed to fumes and/or airborne particles. The noise level in the work environment is usually moderate but at times loud.
