Under the direction of the Marketing Director, the Sales Documentation Specialist will be responsible for Utility Documentation and Sales Contract and Client Project On-Boarding.

Duties & Responsibilities

UTILITY DOCUMENTATION:

  • Accept task from design/engineering department
  • Complete ALL necessary utility documentation (i.e. interconnection (application and/or agreement), certificate of completion (COC), net metering form, certified installer form etc.) working with project analyst (operations department) and/or field engineering specialist for technical data requirements (as needed) and saving documentation in the Prospect SharePoint folder.
  • Set task in CRM to solar energy consultant to review contract/interconnection documents.
  • Prepare and submit DocuSign contracts to client(s)/Solar Energy Consultant for signature.

SALES CONTRACT AND CLIENT PROJECT ON-BOARDING:

  • Receive signed contract documents from sales personnel/DocuSign (via print or digital) and file documents in digital form (color) in client SharePoint folder.
  • Serve as check point to identify any missing contract documents needed prior to moving project to operations team. Notify sales personnel of missing contract documents by setting proper task in CRM and work between sales department and operations department to move signed projects forward.
  • Once all contract documents are received, supply printed copies of all client contract documents to operations department for filing.
  • Maintain/update ongoing master spreadsheet of all signed contracts with necessary boarding information (i.e. client name, array size, cost, profit margin, sales and design personnel).
  • Update sales board once ALL contract documentation is received (Daily). Notify appropriate department personnel of new boarded projects via email.
  • Update client folder location in SharePoint from Prospect to Customer and update URL link in CRM record.
  • Add client name/phone to Zingle texting app dashboard for operations/construction team.
  • Add client and project information to ComputerEase.
  • Set task in CRM for Field Engineering Specialist to complete/finalize project construction document(s).
  • Manage and lead the Solar Benefit Program
  • Perform other duties as assigned.

Knowledge, Skills and Abilities

  • Highly organized
  • Ability to manage multiple projects/multitask in fast-paced environment
  • Moderate understanding of Excel for spreadsheet development and managing multiple calling programs
  • Strong back-office and internal collaboration experience across departments
  • Advanced oral/verbal communication skills
  • Experience using CRM software to update prospect/lead/client records
  • Basic data entry
  • Process-driven
  • Ability to interpret technical specs

Education and Experience

  • AA or advanced degree
  • Three to five years of experience in an administrative role.

Work Hours and Location

  • This position is a full time 40 hours a week position located in the office at Eagle Point Solar in Dubuque, IA.
  • Monday – Friday 8:00 am – 5:00 pm

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer
