The primary purpose of this position is to assist Systems Products and Solutions, Inc. (SPS) and Millennium System Services, Inc. (MSSI) in responding to proposals/bids and aiding in ongoing business development efforts. SPS has been in continuous operation since 2005, and its sister company MSSI (2001), have extensive experience and a wide range of capabilities not found in companies of similar size. The proposal coordinator will need to have the ability to work in a fast-paced environment, performing tasks quickly and with a high level of attention to detail. Our company goal is to submit 3-4 prime opportunities. Our work culture in the Business Development (BD) group is very team oriented and the selected candidate will benefit from supportive co-workers and internal teams who work cooperatively together to accomplish goals.

The ideal candidate for this position must have the following minimum qualifications:

  • Two years of experience may be substituted for degree. A high school diploma or GED equivalent is required
  • 1-2+ years of experience in proposal/bid response work with an understanding of proposal processes
  • Moderate level proficiency at M365; Microsoft Word, PowerPoint and Excel with the ability to insert complex graphics and create formatted documents quickly
  • Ability to work well in a group environment managing document edits, organizing information and researching information to meet deliverables.
  • Ability to think creatively offering ideas on how to present information and showcase it in a visually appealing way in the proposal documents, presentations and other printed materials.
  • Ability to perform technical editing for grammar and readability of documents prior to publishing.
  • Ability to manage complex document requirements, showcasing attention to detail.
  • Willingness and ability to be flexible with working hours by potentially working nights, weekends and holidays on occasion to meet proposal deadlines.
  • Familiar with RS3, OASIS Pool 3 and AMCOM Express is a plus.

Job responsibilities include the following but are not limited to the list below. Other duties and tasks could be assigned by management.

· Research market opportunities, client requirements and other information for pre-positioning or proposal response needs. This information could include reviewing websites for anticipated RFP postings, building and maintaining and opportunity pipeline, up on published addendums and other market research as needed

· Stay forward-looking and current on all BD opportunities, marketing, planning, branding and current customer requirements to align with SPS and MSSI goals

· Prepare and brief executive team to include the CEO/President on our weekly Operations Update and monthly Leadership Brief

· Organize and manage critical data including keeping a SharePoint to house all business development and proposal documents

· Institute and champion strategic planning according to the continuity of operations

· Conduct weekly and monthly “follow up” meetings

· Know and track monthly KPIs

· Develop Action Plan with “Fixed” responsibilities to meet strategic BD Goals

· Use Templates, e.g. Capture, Gate Reviews, and Color Team Reviews

· Opportunity Monitoring, Tracking and Capture by utilizing tools such as, but not limited to, GovWin, GovTribe, GSA eBuy, and SAM.gov

· Gather and organize all client facing materials implementing data into UnaNet CRM and SharePoint

· Report business development activity and capture plans weekly, monthly, and quarterly

· Instituting clear directions and guidance to everyone working on a pursuit to ensure version control and that all edits are compiled and addressed appropriately in brochures, presentations, proposals or other client engagement materials

· Responding to proposal documents issued by clients by following the standard processes of proposals

· Working with the capture team, prepare for storyboard session/kick off, color team review meetings and other processes to ensure all content is received, formatted and adequately reviewed prior to submission. Documents must follow client guidance/directions, ensuring compliance with all proposal requirements

· Coordinating with others in a collaborative fashion to accomplish proposals tasks including working with internal groups to gather the needed information for a pursuit, creating graphics and other document pieces

· Support efforts to maintain proposal content database including bios, good news stories about our work for clients, project summaries and other information necessary for proposal responses
