SUMMARY
A Property Manager is responsible for the operational and financial aspects of a property or properties and meeting company standards. Results are achieved by facilitating the optimum performance of the property in areas such as personnel management, rental collections, resident services, leasing, grounds and building maintenance, revenue enhancement, capital improvements, information reporting and compliance with all applicable laws and company policies. This position operates within and contributes to an environment in compliance with Fair Housing laws and Equal Employment Opportunity.
EDUCATIONAL REQUIREMENTS
- High School diploma or equivalent
- Bachelor’s degree is preferred
EXPERIENCE REQUIREMENTS
- Minimum of 2 years’ experience in property management or related field
- Minimum of 2 year’s supervisory experience
- Valid drivers’ license and current automobile insurance
SOFTWARE
- MS Office (Word, Excel, PowerPoint)
- Proficient with industry (property management) relevant software (Yardi) is a plus
KNOWLEDGE
- Principles and processes for providing customer service
- Business and management principles involved with strategic planning, resource allocation, leadership technique, and coordination of people and processes
- Economic and accounting principles and practices, the financial markets, banking and the analysis and reporting of financial data
- Knowledge of federal, state, and local laws, legal codes, court procedures, executive orders, and government regulations pertaining to property management (landlord and tenant)
REQUIRED SKILLS
- Administrative – General office duties including data entry, filing, record keeping, answering phones, retrieving and transcribing emails, familiarity with legal aspects/fair housing laws, familiarity with company policies and procedures
- Analytical Skills - ability to create and manage property budget, review, and analyze current market conditions, analyze property reports (occupancy, financial, traffic)
- Communication/Language – ability to communicate with all staff levels, residents, vendors and prospective residents, ability to correspond with all contacts via letters, memos, newsletters, and emails, ability to present material to management, staff, etc.
- Coordinating – ability to coordinate resident functions, organize and maintain tenant files, staff meetings and functions, ability to prioritize and delegate tasks daily, ability to handle emergency/unexpected situations, ability to set future goals
- Creative - ability to be creative in marketing, leasing, retaining residents and retaining staff
- Leadership – ability to motivate and lead staff providing them with the direction and training that is necessary for them to succeed, ability to solve resident and staff issues. Ability to handle emergency situations
- Manual – be willing to pick up trash, clean, spread salt, shovel snow as well as other general manual duties, as needed by management
- Maintenance – general knowledge of maintenance is helpful when acting as liaison between maintenance staff and residents
- Mathematical – ability to calculate lease balances, move-in costs, pro-rations, special rates (i.e., pets, carports), late fees, bank deposits, discounts

ESSENTIAL JOB FUNCTIONS
- Maintain property occupancy by effectively retaining residents and successfully marketing property to attract new prospective residents
- Approve residential leases. Oversee all application, screening, and leasing functions of the community. Prepare process and sign all leases and related tenant forms. Perform all aspects of marketing the apartment community to all prospective residents
- Evaluate current community market conditions and those of the community’s competition
- Increase revenue while maintaining controllable expenses including overseeing collection of rents and handling of delinquent tenant matters
- Coordinate regular inventories of all business property, including office supplies and Petty Cash
- Recruit, hire, train, and manage performance of the associates, and take appropriate actions to ensure achievement of performance goals
- Supervise Leasing Consultants (If applicable) and maintenance staff including delegating work, reviewing work, maintaining deadlines, training, and scheduling work schedules
- Ensure all property staff at site adhere to corporate policies and procedures and respond to all resident requests or complaints in a timely, efficient, and courteous manner
- Provide customer service to residents by resolving any issues that may occur and ensuring maintenance completes service requests. Ensure that all maintenance requests are handled on an immediate basis, if possible and that all residents are notified if there must be a delay
- Coordinate resident promotional activities and correspondence (i.e., monthly newsletters)
- Arrange contracts for maintenance, trash removal, landscaping, security, and other ongoing services and managing disputes with these service providers (outside vendors) if applicable
- Assist in obtaining bids and managing capital improvement projects
- Ensure that all property reporting is completed in a timely manner (i.e., financial reports, marketing reports)
- Operate within budget and purchasing guidelines. Work within the budget and notify the Regional Property Manager of any possible variations
- Maintain community curb appeal by walking/inspecting property and vacant units. Continually inspect property and improvements, recording deficiencies and taking the necessary action, within budgetary allocations and approvals
- Investigate complaints, disturbances, and violations and resolve problems, following company procedures
- Oversee new employee orientation
- Coordinate and lead staff meetings, as necessary
- Attend staff meetings as required or requested
- Handle all details for move-ins and move-outs, with special attention to apartment inspection during move-ins and move-outs. Ensure that residents are provided with a clean, well maintained community
- Report accident and emergency situations to the Regional Property Manager immediately and prepare the proper reports
- Exercise good judgement, common sense, and consistency in day-to-day contact with residents and prospective applicants and in other business-related matters
- Dependable and flexible as well as possessing the ability to maintain a high level of confidentiality
- Regular and routine on site attendance
- Other responsibilities as assigned by the Regional Manager or Directors/Executives of the company
