The Office of Children and Families (OCF) aligns the City’s policies, resources, and services for children and families. Our priorities are:

OCF administers a number of City-supported programs, including Out-of-School Time, WorkReady, Community Schools, PHLpreK, and Access Centers. The office also oversees the Department of Human Services (DHS), Philadelphia Parks & Recreation, and the Free Library of Philadelphia.


Job Description


Foster Grandparents are role models, mentors, and friends to children with exceptional needs. The program provides a way for volunteers aged 55 and over to stay active by serving children and youth in their communities. Foster Grandparents are low-income senior volunteers who dedicate between 15 to 40 hours per week in Head Start and early elementary classrooms across the city, tutoring students one-on-one or in small groups. The program is a national model funded by the Corporation for National and Community Service as part of their Senior Corps programming. The City of Philadelphia’s Foster Grandparents program is one of the oldest and largest programs of its kind nationally.

The Foster Grandparent Program (FGP) Program Assistant provides administrative support to ensure efficient operation of the program. The Program Assistant will assist the entire FGP team with a variety of projects and support daily operations. Projects and tasks will be both administrative and programmatic.

This position reports directly to FGP Program Manager.

Essential Functions

Program Coordination and Support

  • Direct administrative support of the FGP Program Manager and Program Coordinator
  • Schedule and assist with In-service and Pre Service Orientation meeting preparation and follow up
  • Taking notes and minutes at meetings
  • Assist in the planning of volunteer appreciation and recruitment events
  • Provide event and logistical support- including engagement and support with vendors
  • Support communication with volunteers and community partners
  • Assist with onboarding and training of new FGP volunteers
  • Maintain database of volunteer clearances- ensure clearances are up to date and assist FGP volunteers with clearance renewal as needed
  • Ensure volunteer files are up to date and maintained in alignment with grant requirements
  • Assist with the bi-weekly collection of volunteer timesheets
  • Assist with collecting and organizing information needed to complete federal grant reports
  • Additional duties as assigned

Competencies, Knowledge, Skills and Abilities

  • Organized and highly developed attention to detail
  • Ability to meet deadlines and prioritize when balancing multiple projects simultaneously
  • Ability to communicate professionally both orally and in writing, including the ability to proofread/edit documents for content, grammar, and spelling
  • Ability to work with minimal supervision
  • Strong customer service skills and a high degree of professionalism when interacting with community partners and stakeholders
  • Ability to work as part of team and represent the team when interacting with other departments
  • Basic understanding of the social service/youth development sector
  • A high level of proficiency with Microsoft Office- including Word, Excel, PowerPoint and Outlook
  • Proficiency with Adobe Acrobat, database systems, web conferencing, and video editing also desired, but not required
  • Ability to learn and use new software quickly with minimal formal training
  • Ability to operate standard office equipment including multifunction devices (copy machine, scanner, fax), multi-line phone system, and audio-visual equipment.

Work-Life

Working hours are generally 37.5 hours per week. Our team is currently hybrid with both virtual and 2 in-office days per week.


Qualifications
  • Bachelors Degree required.
  • Outstanding verbal and written communications skills; ability to work with people of diverse backgrounds, abilities, and socio-economic status.
  • The ideal candidate will have strong organizational skills, attention to detail and ability to work in a fast-paced environment.
  • Experience with volunteer engagement is essential
  • Must be a team player
  • Familiar with a variety of the field's concepts, practices, and procedures.
  • Spanish language fluency is a plus

Salary Range: $40,000 - $45,000
