The Physician Assistant (PA) Program Administrative Manager provides high-level programmatic management for the PA program leaders, faculty, students, and the graduate academic program. The Administrative Manager runs the daily functions of the program leaders and the program: event planning, research and special projects, budgets, correspondence, setting appointments, maintenance of the leaders’ calendars, and problem solving for the day-to-day operations of the PA Program. The Administrative Manager will report directly to the PA Program Director.

Essential Duties and Responsibilities:

  • Point person for the PA Program.
  • Prioritize Program Director’s phone calls, messages, and mail.
  • Responsible for managing the Program Director’s calendar, scheduling, and travel arrangements.
  • Facilitate hiring, logistics, programmatic support and data analytics for startup and ongoing support of PA Program.
  • Assist with program accreditation process, organization, reminders, and management of site visits according to the Standards of the Accreditation Review Commission for Physician Assistants (ARC-PA).
  • Support ongoing program self-assessment activities, evaluation, and improvement plans.
  • Support the admissions counselor and the admissions process as needed.
  • Prepare invoices, budget reports, memos, letters, and other documents.
  • Maintain routine correspondence with internal and external organizations.
  • Launch student course evaluations that fall under the curriculum.
  • Manage student advisee/advisor assignments for the PA Program.
  • Coordinate mail merge and implement prospect mailings for program leadership.
  • Research responsibilities including investigation of new programs, school and programmatic related statistics collection and analysis.
  • Coordinate events and communication of information from the PA Program, including meetings and special events.
  • Maintain up to date information on faculty licensure, certification, professional memberships, and coordinate renewals.
  • Maintain preceptor credentials and licensure information, send reminders, and update records as needed.
  • Maintain updated records on the School’s Board of Advisors and organize meetings and events.
  • Track donor gifts and prepare correspondence.
  • Exercise judgment and independent initiative; handle time sensitive matters that require concise problem-solving and confidentiality.
  • Prepare webpage updates as needed.
  • Coordinate with the Program Director on student misconduct charges.
  • Coordinate with faculty to maintain course schedules.
  • Maintain files, office supplies, office machines, and program accounts.
  • Other job-related duties assigned.

Job Requirements: Education, Experience and Skills:

  • Microsoft office, including Word, Excel, Power point, and Access as well as Internet, e-mail.
  • Training in specific PA Education software and/or applications will be provided as the Administrative Manager will need to work within specific academic applications.
  • Must be familiar with and adhere to all the safety rules and regulations in the University Safety Policy which apply to the work environment.
  • Bachelor’s degree required.
  • Combination of relevant health care and/or academic experience may be considered in lieu of degree.
  • Minimum five years of previous relevant experience in an administrative assistant role.
  • Previous experience in the healthcare industry strongly preferred.
  • Strong organizational, human relations and communications skills.
  • Ability to manage several projects or assignments simultaneously.
  • Ability to work independently with minimal or no supervision, take initiative, handle emergency situations in a professional, efficient manner.
  • Able to maintain a high level of verbal and written confidentiality.
  • Previous event planning experience preferred.
  • Previous experience with managing/coordinating a budget required.
  • The ideal candidate for this position must be able to work independently, display professionalism, and be able to successfully multitask in a fast-paced environment.
  • Strong, consumer/student-oriented interpersonal skills and database management experience are essential as this position requires extensive contact with staff, faculty, students and prospective students.

Schedule:

  • 8 hour shift
  • Monday to Friday

  • Certified Nurse Practitioner (Preferred)
