Payroll Tax Manager Job at Carl Zeiss Meditec, Inc.
This position will be a hybrid: 3 days onsite and 2 days remote.
The Payroll Tax Manager is responsible for compiling and remitting federal and state tax obligations that are not managed by our payroll tax vendors (ADP and OSV) and maintaining the payroll tax rates in Workday for all legal entities of the Group Carl Zeiss in North America (~4000 employees.) This role will also manage the audit and validation of the accuracy of our vendors’ filling. This role will demonstrate expert knowledge of payroll tax and compliance.
The position will develop a payroll tax strategy for North America, drive projects to ensure harmonization, investigate Tax notices, and partner with Payroll Vendors to resolve open claims. The Payroll tax manager is responsible for the timely preparation, processing, maintenance, and appropriate distribution of Payroll Tax information, payroll Tax reports and tax year-end reports.
Primary Duties and Responsibilities:
- Timely and accurate remittance of Federal, State, and Local payroll taxes for US entities doing business in multiple states and localities to a third-party vendor
- Manage Jurisdiction setup with the completion and registration of all applicable forms with the state, and local agencies not managed by payroll vendor
- Maintain the accuracy and integrity of the data provided to a third-party vendor
- Prepare, reconcile, and file the monthly, quarterly, and annual withholding and unemployment tax returns
- Prepare monthly, quarterly, and annual reconciliation of W2 wages (and T-4 for Canada) and withholdings for all entities, including reconciliation of third-party vendor files/reports to the source system (Fidelity, ADP, OSV)
- Reconcile all Tax 941’s on a quarterly basis against the payroll registers.
- Monthly reconciliation of payroll balance sheet accounts in collaboration with the GL team
- Quarterly and annually reconcile employee 401K funding
- Manage testing of all payroll tax system upgrades and improvements in Workday prior to production implementation, including detailing of test scenarios and scripts
- Support Accounting Audits (Interim, Hard close, year-end), Fiduciary Audits for 401k plans (USA) & Pension Plans (Canada), and Insurance Audits for workers' compensation
- Contact state agencies directly to resolve any/ all tax-related problems, often acting as a liaison between ADP / OSV and the state agency to ensure that Zeiss remains an employer in good standing.
- Support any Tax reporting projects not limited to acquisitions or mergers.
- Monitor tax changes and compliance ordinances to stay relevant.
- The secondary duty of the role is to be able to backfill the payroll processing team when needed and support NDT-TESTING.
- Job Requirements
- Education and professional requirements:
- Bachelor’s degree (or equivalent payroll /accounting experience) required.
- At least 7 years of relevant experience in the U.S. and global payroll Tax at complex global organization Workday experience, a requirement,
- Minimum 7 years of payroll experience in a large payroll operation with a multi-state and multi-national population.
- Knowledge of In-Patriate and Ex-Patriate payroll and tax scenarios,
- Strong project management experience including the ability to manage project plans, dependencies, critical path activities, milestones,
- Experience in Workday, a plus,
- Experience in a shared services center is a plus,
- Extensive multi-state and local tax knowledge with proven experience with registration and updates.
- Significant experience in excel, including advanced knowledge of VLOOKUP, and Pivot Tables.
- Knowledge of general accounting practices (e.g., journal entries, general ledger reporting)
