KANA's Payroll and Benefits Specialist p erforms a full range of payroll and personnel transactions, maintains accurate and up-to-date payroll records, and processes employee benefits enrollment for insurance and retirement plans.

Essential Duties and Responsibilities

  • Support the organization’s mission and goals, quality standards, and patient-centered medical home philosophy.   • Uphold KANA’s Code of Ethics by conducting professional activities with honesty, integrity, respect, fairness, and good faith in a manner that reflects positively upon the organization.
  • Data entry into payroll and timekeeping systems. Maintain up-to-date computerized employee roster and employee payroll files. Responsible for insuring audit compliance of all records.

  • Review, approve, and process employee timecards. Prepare payroll and generate and distribute checks to KANA employees. Prepare checks for employee withholdings and distribute accordingly.

  • Responsible for submitting payroll taxes (FED, FICA, and ESD) within required time limits.

  • Maintain up-to-date employee discretionary leave accrual records.

  • Process enrollment for all benefits plans. Serve as liaison between KANA employees and benefits plan carriers and insurance brokers to assist with initial enrollment questions and changes to existing plans.

  • Prepare check advice for insurance premiums and retirement contributions on a regular basis, and reconcile with the computerized general ledger.

  • Present timekeeping and benefits information at new employee orientation.

  • Assist with employee benefits open enrollment annually, and coordinate quarterly visits with retirement plan and supplemental insurance providers.

  • Process and administer disability and FMLA paperwork.

  • Serve as point of contact for questions and support related to KANA’s payroll and benefits software system. Participate in the efficient setup and use of payroll and benefits software to ensure it is a user-friendly and effective tool for employees and managers.

Supervisory Responsibilities
This job has no supervisory responsibilities.

High school diploma or equivalent, college level accounting course work preferred; two (2) years payroll, accounting, and/or benefits experience; or equivalent combination of education and experience.

Knowledge of applicable payroll and employee benefits laws. Excellent written and verbal communication skills. Excellent organizational and time management skills. Experience with Accounting and Payroll software, Internet, Database, Spreadsheet, and Word Processing software. To perform this job successfully, an individual should have experience with Accounting and Payroll software, Internet, Database, Spreadsheet, and Word Processing software.
