Patient Access Representative
Full-Time (1.0 FTE) 80 Hours a Pay Period
Days/Evenings, Hours between 6:30 am – 8:00 pm

Position Overview:

The Patient Access Representative performs in-person and over the phone high quality registration services. Role greets and acknowledges patients immediately, reviews and updates established patient demographic information for accuracy, establishes new accounts as needed, collects co-payments/balances at time of service, and schedules appointments.

Essential Duties & Responsibilities:

  • Greets and registers patients and/or their representatives. Completes necessary demographics information and paperwork in an efficient and timely manner with minimal errors either in person or through use of electronic registration software.
  • Position ensures the following element are meet with minimal error: required signatures according to departmental policies and procedures; gather and scan/upload all insurance cards, identification cards and/or other documentation as needed; review insurance eligibility from software and accurately enter coverage benefits into registration system; ensure timely check-in; distribute paperwork according to specific departmental policies/procedures to patients; collects co-payments as appropriate and ensures cash drawer balances at end of business day. Updates patient status within software if patient is transferred to another department. Keeps waiting area clean and tidy.
  • Maintains professional telephone etiquette with incoming telephone calls, following the set procedures according the specific department and/or physician office. Determines next available appointment based on availability of providers and provider scheduling preference. Reschedules/cancels existing appointments based on provider changes or patient preference. Calls patients with appointment reminders who did not receive reminder electronically.
  • Receive and log patient messages into electronic medical record for nursing staff in a timely manner. Requires staff to collect all necessary information from patient to ensure triaging staff receives accurate information. Staff will return calls to patients based on return messages from nursing staff. Will facilitate release of information form signature and release of medical record information provided from caregivers to patients.
  • Performs other office staff duties as needed, including but not limited to faxing, filing, copying, routing records to Health Information Management for scanning and covering other staff breaks.
  • Other duties as assigned by Manager/Director of Revenue Cycle based on department need.

Essential Skills and Experience:

  • Minimum of obtaining high school diploma or graduate of high school or equivalent preferred
  • 1-3 years of customer service, reception, or business experience
  • Ability to make rapid decisions with minimal supervision, have experience with multi-tasking and ability to prioritize tasks
  • Ability to perform multiple tasks independently in a busy, ever-changing environment

Nonessential Skills and Experience:

  • Post-secondary education in a related field
  • Knowledge of medical terminology
  • Insurance verification, cash handling, and/or scheduling experience is preferred, but not required
  • Previous experience in a hospital and/or clinic environment is preferred, but not required
