Overall compensation (base salary + discretionary bonus or commission if sales) for this role will be provided commensurate with years of experience and qualifications within the following range: $70,000 - $90,000 plus health and wellness benefits.

This is a fully remote position available anywhere in the US with the option of coming into our Oakland, CA office as well as team events approximately 4 times a year.

Responsibilities

  • Online events project coordination
    • Manage event timeline using ClickUp task management system and ensure deliverables are being met by all teams
    • Manage online event platform and system
    • Provide operational support to creative and production teams for keynote videos
    • Manage post event process, including editing and uploading videos to Hopin, sending attendee surveys, and reviewing post-event metrics
    • Support budget process including compiling and tracking quotes and final invoices for the events
  • Speaker and program coordination
    • Manage speaker and conference details in Airtable, Google Docs, the GreenBiz.com Content Management System, and Hopin (our online events platform)
    • Manage the uploading and updating of event sessions, booths and speaker details
    • Manage communications with speakers and create speaker resources
    • Train speakers and staff on best practices for using and engaging with our online events platform
  • Online event platform management and research
    • Perform research and analysis on online event platforms to support the growth and expansion of GreenBiz online events
    • Track updates and product releases of current event platform, Hopin, and create resources to notify and train staff, speakers and attendees about updates
  • In-person conference logistics
    • Provide support on speaker management for in-person events
    • Manage registration and other programs on site
    • Coordinate signage and supplies internally and with venues
    • Support GreenBiz event sustainability programs
    • Execute additional event coordination tasks as needed

Requirements

  • BA or equivalent preferred
  • Strong attention to detail with exceptional time management, organizational and multitasking skills, practicing care in handling sensitive information
  • Strong writing skills with excellent spelling, punctuation and grammar
  • Ability to work independently with minimal guidance, demonstrating initiative, accountability and ownership of assigned tasks
  • Ability to work internally with colleagues within and beyond the conference team, including sales and marketing, and externally with customers and partners outside of GreenBiz
  • Quick thinking, learning, and problem solving capability
  • Flexibility in a constantly evolving environment
  • Proficiency Google Apps (Drive, Sites, etc.) and generally strong computer skills
  • A proven professional or personal commitment to sustainability
  • Knowledge of GreenBiz and familiarity with our website, www.greenbiz.com
  • A positive and enthusiastic attitude

Preferred but not required:

  • Experience with Hopin, Clickup, or Airtable is a plus
  • Event operations experience
