Office Manager Job at Youth & Opportunity United Inc
Primary Responsibilities
- Leads building operations and administration for all staff.
- Manages the physical spaces at Y.O.U. headquarters in support of staff, including maintenance, cleanliness, mail, visitors and community space usage
- Maintains office supply inventory, including ordering, stocking, and distribution
- Oversees maintenance and scheduling of the Y.O.U. vans
- Ensures supply and maintenance of office and AV equipment, i.e. printers
- Develops building operations policies, procedures, and systems to improve office efficiency
- Develops emergency action plans, policy, and procedures; and maintains training records for insurance and grants
- Actively participates in cross-department meetings to improve organizational processes, communications, and culture
- Follows-up on tickets and requests within 24-48 hours and ensures appropriate notification should solutions be delayed
- Manages, maintains, and communicates with vendors on accounts, bids, contracts, invoices, and communications
- Provides a warm, welcoming and engaging experience to guests of Y.O.U.
- Greets all visitors in a welcoming, professional manner, and answers inquiries
- Responds to general Y.O.U. phone and email messages; routes messages correctly
- Builds relationships with key community partners seeking to reserve spaces in Y.O.U.’s facility for meetings and gatherings
- Occasionally staffs weekend facility reservations
- Receives packages and other mail and routes correctly
- Supervises the Facilities Assistant and Client Engagement Assistants
- Promptly and efficiently manages all building reservations and events, including set-up/down, clean up, security, etc.
- Assists Y.O.U. Leadership on initiatives to strengthen our excellent workplace.
- Develops onboarding materials and presents information to new staff.
- Helps organize organizational events such as staff meetings, retreats, and celebrations
- Ensures timely communications on activities and tasks that affect multiple departments and people.
- Supports the Chief Executive Officer (CEO) as requested
- Completes additional administrative requests for the CEO as requested
- Make return phone calls to individuals calling with general requests.
- Support occasional purchasing requests.
- Provide administrative assistance where needed.
- Special projects
- Completes financial reporting as requested (logging incoming checks, tracking credit card purchases)
- Represents Y.O.U. within the Evanston community.
- Other tasks as requested
Salary & Benefits
Salary: $19 - $22.50/hour
Hours: Minimum of 30 hours per week up to 40 hours per week. Requires some weekend & evening hours depending on the building schedule.

There will be no relocation costs included in this package. Applicants should have a current, valid legal authorization to work in the United States.

Founded in 1971, Y.O.U. is an Evanston-based non-profit that partners with families, schools, and the community to provide academic, social, and emotional support to close the opportunity gap and prepare all youth for post-secondary and life success. Each year, Y.O.U. provides over 1,600 youth across 11 school sites with free, holistic, out-of-school support, including afterschool and summer learning programs, mental health counseling, and experiential learning through partnerships. The organization is implementing a new strategic plan focused on data & evaluation of impact, increased integration of services, and refining the program model. EDUCATION
- A minimum of an Associates degree is required; Bachelor’s degree or equivalent experience preferred
EXPERIENCE
- At least two years experience in office management or customer service
- Knowledge of building maintenance systems (HVAC, Boiler, Fire Safety, Sustainability, etc)
- Knowledge of Asset Management
- Proficiency with technology, including Google Suite, Microsoft Office Suite and Adobe products
- Excellent written and oral communication skills
- Ability to be flexible and take on a variety of tasks and priorities
- Ability to maintain confidential information
- Excellent organizational and project management skills
- Comfortable in a fast-paced environment; meets deadlines and can work independently
