Office Administrator
We are seeking an Office Administrator to join our well-established, but rapidly growing Investment Advisory Firm in Raleigh, North Carolina. The ideal candidate will have previous experience in an administrative role and will value developing meaningful, personal relationships. LifePlan Group is a boutique investment firm that works primarily with high-net worth retirees and pre-retirees. The main responsibility of the Office Administrator will be to oversee our physical office space, greet and schedule clients, follow up with leads, manage our advisor’s meeting calendars, and assist the Directors of Marketing and Client Experience. The ideal candidate finds energy to work on a small team, is a quick learner as well as a self-learner (if they don’t know something, they will look it up!). They will be enthusiastic and self-confident, but not arrogant, as well as being excellent at organization, not letting any details fall through the crack! This Office Administrator will be able to integrate their personal work style within our client culture, philosophy, and vision for the service we provide our clients.

Minimum Requirements:
  • Bachelor’s Degree or equivalent combinations of training and experience
  • 2+ years of experience working in a professional office and fast paced environment
  • Comfortable socializing with groups and with individuals
  • Proficient skills with MS Office Suite
  • Comfortable and familiar with CRM platforms (Redtail experience is a plus)
  • Industry experience preferred, but not required
  • This position requires that you possess the following skills:
    • Strong organizational skills and strong attention to detail
    • Excellent communication skills; both verbal and written
    • Exceptional phone skills
    • Proficient with filing, phone systems, and scanners
Responsibilities/Office Administration:
This position will assist the Team in maintaining exceptional customer service to help exceed client and regulatory expectations by following day to day tasks such as:
  • Answer phones and greet clients in a warm, friendly manner
  • Enter and maintain database of clients and prospects
  • Record notes from client conversation in an accurate manner
  • Manage filing-system
  • Attend and contribute to team meetings
  • Maintain the office environment in immaculate and organized condition
  • Maintain job-related/industry specific compliance files
  • Assist in organizing events, event supplies, and promotional material
  • Assist in the coordination of various client events
  • Support the marketing team with prospecting and presenting
  • Develop and mail letters to clients for various purposes upon request
  • Send the following to clients, but not limited to: Quarterly Referral letters, Reallocation letters, Appointment Reminders, Thank You notes, Birthday letters, Invitations, etc.
  • Prioritize daily tasks to be proactive in time management
  • Ensure office supplies and “extras” (drinks, snacks for clients) are stocked
  • Be available for evening events planned (4-6 year)
  • General backup support for all other positions consisting of varied tasks as needed
Salary - $25.00 per hour
Hours – the below is preferred but can be flexible for the right candidate!
Monday
12:00 PM – 3:00 PM – Remote
Tuesday – Thursday
9:00 – 3:00 PM In Office
Friday
9:00 AM – 12:00 PM - Remote
