What will I do in this role with Judson?

As a Nursing Office Manager, supporting our mission will include the following responsibilities:

  • Oversees the distribution of bi-weekly or monthly schedules for nurses and nursing assistant staff at Judson Park, Judson Manor and South Franklin Circle assisted living and skilled units.
  • Oversees schedules to maintain adequate staffing levels established by the State to cover open positions, leaves of absence, jury duty, holidays, work related light duty assignments, and other paid time off in the following manner:
    • Utilizes PRN/ part-time employees first.
    • Utilizes overtime efficiently.
    • Covers with agency, with approval, if all other options are depleted and position is still open.
  • Coordinates with Human Resources to monitor vacancy and staffing needs.
  • Assists with scheduling recommendations to insure that posted positions are based on budget and staffing levels.
  • Maintains competence in the software used for scheduling, staffing, and payroll.
  • Examines staffing /scheduling configurations and identifies opportunities to maximize efficiency and minimize cost.
  • Attends weekly meetings with Human Resources, Director of Nursing and other designated attendees to discuss and review open positions, posted positions, new hires, etc.
  • Coordinates and participates in the new hire nursing orientation including but not limited to: Departmental processes, rules and expectations, uniforms, and scheduling.
  • Responsible for ensuring Human Resources receives a Change of Status Form for any open position, change in pay request, status changes or other department changes.
  • Reviews weekly payroll based on the schedule for assisted living and skilled facilities to ensure hours are correct within the system prior to supervisor approval to include:
    • Edits time card reports.
    • Allocates holiday pay, PTO benefit time, sick time, and other leaves of absences if applicable in accordance with corporate and departmental guidelines.
    • Tracks and allocates monthly and weekend program attendance bonus when applicable.
    • Monitors and processes sign-on and referral bonuses.
    • Tracks missing timecard punches and identifies when issues need to be addressed.
    • Tracks overtime concerns and sends report to Director of Nursing from the last submission of payroll report.
  • Assists with administrative nursing department functions which may include:
    • Scheduling appointments for resident medical care.
    • Creating communication such as memos as directed by the DON or VP Health Services.
    • Assist with auditing clinical records for key performance metrics.
  • Agency staffing is reviewed ensuring rates charged are consistent with the contract.
  • Maintains employee attendance records per the following:
    • Tracks points accumulated in accordance with attendance policy.
    • Prepare disciplinary documentation and reviews weekly with the Director of Nursing for employees needing corrective action due to violating the attendance policy.
    • Prepare termination paperwork and forward to Human Resources in a timely manner.
  • Prepares and maintains the following staffing reports as needed:
    • Daily sick time report.
    • Open position coverage report.
  • Participates in the Associate Engagement Process that promotes turnover reduction.
  • Assists with union related concerns or issues related to scheduling.
  • Other duties as assigned.

What do I need for this role with Judson?

  • High school diploma/GED required.
  • Ability to routinely travel locally and periodically work a non-traditional schedule/outside regular business hours if needed required.
  • Excellent communication, presentation, organizational, and time management skills with a strong background in successfully delivering exceptional customer service required.
  • Practical experience working with a human resources information system required.
  • Proficiency with Microsoft Office products, including Excel, Word & PowerPoint required.
  • Associate's degree preferred.
  • Previous experience in healthcare scheduling preferred.
