BASIC SUMMARY

The Meeting and Event Specialist is responsible for assisting internal and external coordination and execution of assigned meeting and events while maintaining an active role with and including, banquet services, transportation, food and beverage, meeting space, entertainment, equipment needs and overall guest needs and satisfaction as expressed in our mission statement.

QUALIFICATIONS: EDUCATION, KNOWLEDGE, TRAINING & WORK EXPERIENCE

  • Must have high school diploma or high school equivalency diploma (HSED).
  • Must have one to three years of previous banquet or meeting and event planning in a related field.

  • Must have excellent organizational, administrative, communicative, guest relations, and leadership skills.

  • Must be at least 21 years of age.

  • Must possess a valid employee alcohol permit.

  • Must be hands-on and able to perform all functions as needed.

  • Must always present a hospitality mentality — warm, friendly, helpful, and generous.

  • Must always ensure a teamwork-friendly environment.

  • Ability to work a flexible schedule, including evenings, weekends and holidays as needed.

  • A degree in business, marketing, meeting or event management, public relations, communications, or hospitality is preferred.


ESSENTIAL FUNCTIONS:

  • Support and serve all client and guest needs throughout their stay as one of the client liaisons.

  • Maintain an overall knowledge operational requirements for the resort, including French Lick Springs Hotel, French Lick Casino, West Baden Springs Hotel, and all other resort properties and affiliations.

  • Be knowledgeable of the needs for each meeting and event assigned, including contract requirements, functional space, rental needs, media and audio/visual needs, food and beverage, transportation logistics, entertainment activities, conference registration, on-site coordination, and post-event follow-up.

  • Establish and maintain relationships with key business leaders and develop effective timelines with key milestones, while monitoring execution and continual evaluation of results.

  • Maintain the highest degree of professionalism with exceptional representation of the resort.

  • Ensure effective solution-oriented communication within all departments to ensure guest satisfaction.

  • Ensure appropriate and effective operational and administrative systems are followed to ensure guest satisfaction.

  • Ensure all resort and guest policies are strictly adhered to.

  • Assist management in maintaining budgeted goals in areas of labor cost, expense, and food and beverage costs.

  • Maintain a thorough knowledge and adherence of all resort services, products, venues and the procedures and standards for each.

  • Ensure effective and continuous communication with meeting/function contacts and guests.

  • Ensure appropriate opening duties, execution of functions, and completion of closing duties meet the resort and guest expectations.

  • Direct and assist with operational duties during functions.

  • Perform other duties as reasonably requested by management.
