About The Role
The Marketing Admin reports to the VP of Marketing, Seaport and will be responsible for supporting the full administrative functions across teams (Marketing, Creative & Strategic Partnerships) at the Seaport, including invoice processing and tracking, contract & certificate of insurance (COI) processing with vendors, maintaining photo database, responding to customer email inquiries, compiling marketing updates and managing scheduling. The role require strong attention to detail, a team player mentality and the ability to do repetitive tasks. This is a full-time position (40 hour work week) with a 3/2 schedule – three days in office, two days remote. Salary: $60-$85K plus bonus and benefits.
What You Will Do
Typical responsibilities include, but are not limited to:
Respond to customer inquiry emails daily, ensuring all emails are appropriately handled and distributed to the appropriate teammembers when required.
Manage the accounting functions of the team which includes tracking all invoices, routinely submitting to accounting and following up on any payment inquiries for vendors. Submitting monthly accruals to accounting department and reconciling spending against budgets. Requires working with accounting and financial analysts.
Manage contracting process for all vendors which includes vendor setup, contracting process and collecting certificates of insurance. Requires working with risk management, accounting and legal teams and multiple internal systems.
Working with Content Manager to ensure all selects of photos & video are uploaded into the proper internal system on a weekly basis.
Sharing key updates with corporate team to ensure comms are updated on internal intranet.
Compiling and sending monthly marketing updates & calendars to office, tenants and other key stakeholders.
Manage daily LED screen schedule at Pier 17 with third party partner. Requires coordination with sponsorship, operations and events.
Manage daily exterior lighting schedule of Pier 17’s color illuminated façade (called the “lightband”) via internal online system. Requires coordination with marketing and events teams.
Coordinate team and company outings and events where needed.
Coordinating team calendars, scheduling meetings and compiling meeting notes when needed.
Other support as needed.
About You
Strong project management and organization skills, must be able to juggle multiple deadlines at once
Strong knowledge of Microsoft Office including Outlook, and Apple’s Keynote
Detail-oriented and proactive
A team-player with a positive attitude and a willingness to help.
The motivation to become an expert in the role, even with the most routine tasks.
Associates's degree preferred
1-2 years of experience working in a professional environment, with administrative experience, is a bonus.
