Position Title: Institutional Giving Operations Coordinator
Reports To: Director of Data and Gift Processing Services
Status: Non-Exempt, Part-Time Position
Position Summary:
The Hill School’s Office of Institutional Giving (OIG) is responsible for fostering relationships with alumni, parents, foundations and friends to encourage their support of The Hill’s mission and secure the School’s future. Specific areas addressed by OIG, led by the Assistant Head of School for Institutional Giving, include capital giving (major and estate charitable giving) from alumni, parents, foundations and friends; The Hill Fund (annual giving to support the operating budget); and advancement services (gift processing, database management, stewardship, donor research and gift reporting). Objectives include encouraging volunteer service to the School and raising funds to support capital projects, programs, operating support, student aid, and the School’s endowment; encouraging a culture of philanthropy among all constituencies; and creating opportunities for alumni/parents to stay connected with the School and network with peers.
Responsibilities and Qualifications:
The primary focus of the IG Operations Coordinator is to aid the Data, Gift, and Research processes in IG Operations. Tasks include but are not limited to:

  • Contact information management via returned mail, bounced emails, and general updates;
  • Year-round database coding in relation to current students and families;
  • Alumni file storage management in alumni house garage system;
  • Perform annual data audits at the direction of the Director of Data and Gift Processing Services;
  • Assist in preparing work for our Campus Service students during the academic year;
  • Aid Senior Prospect Researcher in updating and maintaining current alumni employment information and other research tasks as requested;
  • Aid Senior Gift Processor during high-volume months with printing and mailing receipts and pledge reminders;
  • Aid IG Operations team in long-term gift processing and donor relations audits;
  • Other responsibilities as assigned.

Applicants should have a proficient knowledge of Microsoft Office, particularly Excel and Word, as well as other basic office programs. A patient and careful working style with close attention to detail is required. Applicants who are analytical and curious will flourish in this role. The position will require some physical activity during Reunion Weekend and beyond and will involve walking and standing on a semi-regular basis. Candidates are required to earn a certification on the fundamentals of Blackbaud Raiser’s Edge and NXT shortly after their start date.
