Job Responsibilities
DUTIES
AND
RESPONSIBILITIES
Housing Technology
- Responsible for managing departmental functions of StarRez and Banner systems (referred to as housing management systems) and the housing assignment process for all new students required to live on campus.
- Responsible for the housing renewal process for returning students.
- Processes all housing assignment changes in housing management systems.
- Coordinates all housing placement functions: placement into housing, removal from housing, changes to housing, billing, etc. (including summer).
- Works with ITS and external vendor(s) for housing management system updates; attend housing system related training sessions; and oversees the set-up and testing of updated or new housing management systems.
- Uses Microsoft Office and Google Sheet tools to create spreadsheets to track data and document information.
- Periodically assists in reviewing and updating processes and forms.
- Prepares the housing management system for the housing renewal process and new student application processes. Ensures application and room selection processes are correct prior to student room selection.
Management
- Provides leadership and oversight to professional and paraprofessional residence life staff including Hall Directors, Community Coordinators, and central office student staff.
- Coordinates with the Office of Student Access and Disability Services to manage appropriate housing accommodations for students as needed (i.e. emotional support animal (ESA), air conditioner, and other requests).
- Creates reports in the housing management system to track accommodations.
Supervision
- Provides direct supervision to a student housing assistant to assist with the administrative functions of the housing assignment operation.
- Provides indirect supervision to all student employees in the Central Office, particularly in regard to questions about housing agreements, room selection, billing, and general questions about the process.
Financial
- Coordinates the administration of all billing and fee assessment within the residence life operation with the Business Office and the University Comptroller.
- Collaborates with various campus offices and the vendor to troubleshoot and develop solutions to problems that arise with the billing process, pro-rating, or refunds, etc.
Reporting/Analysis
- Creates and manages reporting features in the housing management system in order to supply historical occupancy data on a regular basis.
- Runs appropriate housing related reports from housing management systems.
Customer Service/Interpersonal skills
- Assists students and families with questions about housing applications, roommate selections, room assignments and room change process.
- Coordinates correspondence for housing-related mailings and notifications and collaborates with the Office of Admission.
- Handles confidential information on a daily basis.
Other Responsibilities
- Assist with administrative process to support departmental operations as needed.
- Other duties as assigned.
ESSENTIAL
FUNCTIONS
Must be able to:
- learn and use a complex housing management software system.
- design reporting tools using housing management software system, Banner, Google Sheets, Microsoft Office and other relevant software programs necessary to manage a University housing operation.
- communicate via telephone, email, and in person on a daily basis.
- handle multiple and complex tasks simultaneously.
- perform basic mathematical functions related to billing, both manually and electronically.
- work with various university software systems as needed to comply with University processes and procedures.
- provide supervision and direction to student staff employees.
- maintain professionalism and calm at all times when assisting prospective students and their parents, as well as current students, internal colleagues and campus partners.
Professional Coordination
The Housing Placement Specialist must maintain regular contact with supervisor (Director of Residence Life), the University Business Office, the University Comptroller, and other campus departments to ensure housing services function effectively and collaboratively. This person interacts frequently with the Office of Admission, the Office of Student Access and Disability Services, the Business Office, and Sodexo (Dining contractor). Frequent and high quality interaction with students and parents is an essential component of the job.
Required Qualifications
- Bachelor’s Degree OR Associates Degree plus 1 year experience in a related position.
- Demonstrated commitment to the welfare of students.
- Demonstrated commitment to working with a diverse student body.
- Demonstrated ability to engage in effective problem solving, both independently and as part of a team.
- Demonstrated experience with computer systems and electronic spreadsheet programs.
- Demonstrated experience organizing multiple administrative responsibilities and managing one’s time to achieve results.
- Demonstrated experience communicating effectively with students, their stakeholders, and colleagues (staff and faculty).
Preferred Qualifications
- Residence Life or university housing experience.
- Two years or more of data management system experience.
- Supervision or leadership experience.
