We are seeking an Association Manager. The Association Manager Position responsibilities are:

  • Monday – Friday, 9 a.m. to 5 p.m. to ensure coverage of front desk if away
  • Answer all phone calls during regular office hours
  • Investigate owner complaints and assist with executing a solution in a timely manner
  • Coordinate with property manager to schedule maintenance/repairs as needed
  • Manage relationships with vendors and service providers.
  • Regularly collect and sort the mail and ensure proper postage on all outgoing mail, complete certified mail forms and ship FedEx, as needed.
  • Copying and scanning of documents, including scanning to homeowner files
  • Ensure filing systems are maintained and current
  • Prepare and disseminate resale welcome packets
  • Maintain ACC tracking for each association, preparation and dissemination of notices, violations, and fines.
  • Manage and co-ordinate PMR requests and approvals
  • Create and update board member directories
  • Update web content for association websites (monthly)
  • Prepare Board packets and other meeting materials at community managers' request
  • Assist in obtaining proposals, tracking proposals, and assisting in coordination of projects at community manager’s request
  • Input all assessments in QuickBooks and make all bank deposits
  • Assist in paying all Association bills
  • Preparation and review of Delinquency Reports and assist in the remitting of accounts to legal.
  • Maintain tracking for all accounts in legal.
  • Provide general support to homeowners and Board Members visiting the office
  • Issue communications to homeowners through the Associations website e-mail portal or Outlook as required.

Association Manager duties consist of the above as well as:

-A Community Association Manager is responsible for the day-to-day operations of several community associations.

-Requires the ability to work with Homeowners, Board Members and other team members within the organization.

-Attending 3 to 4 Board meetings per month usually held in the evening hours between 6 pm and 8 pm.

-Mentoring, training and maintaining the Company's relationship with each community that they are responsible for managing.

-Communication between the Board and individual homeowners.

-Ability to negotiate and deal with outside contractors and vendors for the needs of the community.

-Deed restrictions, common area maintenance, etc.-You are the "face of the company" to the communities, Board of Directors and vendors.

Job Types: Full-time, Part-time

Pay: From $38,500.00 per year

Ability to commute/relocate:

  • Trappe, PA: Reliably commute or planning to relocate before starting work (Preferred)

Education:

  • High school or equivalent (Preferred)

Experience:

  • Customer service: 1 year (Preferred)

License/Certification:

  • Driver's License (Preferred)
