Location:

  • Waltham, MA and Boston area. (Dual location. Based at Waltham Site, MA with frequent travel to Seaport MA site and to the building site at Kendall Square. The role will be based in Kendall Square site when available.)
  • Onsite (with some remote flexibility)

Job Description The Kendall Square Facilities & Operations Transition Director will work alongside Program & Kendall Square Leadership teams to oversee all aspects of the operational transition from 2 sites at Waltham, and Seaport, into the new Kendall Square site. This will encompass strong program and project leadership across multi-disciplinary teams to deliver on-time and on-budget, and in adherence with applicable operational sustainability, SHE and compliance standards. The individual will ensure facilities management requirements, including utilities, are effectively translated into sustainable, cost-effective and efficient solutions that ensure operational readiness of, and transition into, the new building. The role is accountable for hard & soft facilities transition strategy, planning and execution, including managing suppliers directly involved in operational transition and readiness, and including successful delivery of the post transition activities required to formally hand the whole facility over to business-as-usual services, and exit legacy site services and occupation. The role will work closely with Operational / Facilities leads from the Seaport & Waltham current sites.

Who we are

We are a program team supporting the 4-year program to establish a new site in Kendall Square, MA. The site will co-locate R&D lab-based, and office-based teams currently located at Waltham, MA and at Seaport, Boston. Waltham is a well-established R&D site, delivering both Oncology & BioPharm discovery science. Both sites have colleagues actively engaged in the Kendall Square program. We are working closely with Boston Properties who are building the residential and lab tower complex at Binney Street.

We are looking for a proactive, inspirational Transition Director, who can work closely with Site and Program Leadership to influence, develop and execute a program of activities that will ensure smooth, compliant, sustainable and cost-effective operations. You will see problems, opportunities and solutions far earlier than anyone else, bringing experience & expertise to influence shell & core design to incorporate elements that will be fundamental to the operation of the building. You will represent staff who will work in the building, to make sure that they can perform their work in a facility that eliminates barriers, and creates a great place to work

Essential Criteria:

  • Business, Engineering or Scientific Degree
  • Direct experience of utilities & facilities management in a sustainable & environmentally conscious environment
  • Experience in planning, managing or operating a lab-based owned or leased facility
  • Strong communication and relationship building skills with the ability to influence others to achieve objectives
  • Evidence of leading and developing innovative solutions that have a major impact within the business area and organization
  • Strong networking/consulting skills with good internal/external links
  • Ability to interpret and communicate technical information into business language and in alignment with business requirements and standards
  • Experience of managing, developing and leading a team of people in different locations
  • Demonstrated credentials in scoping and evaluating supplier proposals for facilities hard & soft services
  • Proven track record in delivering high risk program/projects and decision making
  • Proven skills and experience of managing and controlling large budgets
  • Ability to align intent, and manage negotiations across a diverse & complex group Experience leading all or part of construction and/or facilities management projects

Desirable Criteria

  • Strong contacts within procurement and global/regional or local FM suppliers
  • Experience working with R&D teams in lab / facilities management-type role
  • Established network within ORD, BRD or business & communications teams Experience or specialist knowledge in sustainability matters
  • Project or Program Management qualification
  • Experience of working in a large organization with complex/geographical context
  • Experience of managing large transitions, ideally into a research facility.

Accountabilities

  • Define and manage operational transition plan including
  • Develop & baseline operational concept
  • Represent operational & facilities requirements at key design stage gates
  • Develop operational budget including refining detailed transition planning one-time and dual operational cost estimates
  • Manage assigned budget for operational readiness and execution activities including managing spend with external providers
  • Establish operational & facilities vision for Kendall Square; develop approach to achieving the vision
  • Establish operational and facilities requirements for site occupants (i.e. staff currently at Seaport, Waltham, plus any other as determined by program scope)
  • Determine and articulate supplier requirements based on users’ needs; liaise with operational staff at Waltham & Kendall Square, and in procurement, to identify strategic global, regional and local supplier partners
  • Leverage supplier partner innovation and expertise to bring new ideas to the site implementation teams for evaluation, prioritization and inclusion in the KSQ facility design Contribute highest level of technical expertise in project management, project planning, budgets and methodologies to meet PMO requirements and to ensure workstream objectives are defined, planned and delivered on time and to budget, in alignment with construction timeline
  • Define & source project resource (number, cost, source, roles & responsibilities); provide day-to-day direction and leadership to assigned project team members, including sourcing resource where needed
  • Own and execute change control over key workstream deliverables including any with interdependencies across other workstreams
  • Manage workstream risk & contribute to overall program risk management, including identifying and articulating cost-of-life risk for decisions made during the capital design process
  • Establish and manage clear governance and decision making for area of accountability including aligning stakeholders within, and across key program workstreams
  • Establish and manage relationships with key senior/executive stakeholders at current sites, and in the Kendall Square LT, when formed, to ensure understanding and commitment to project objectives, and development and refinement of project deliverables.
  • Manage Program Board (core team) expectations in line with project
