Position Summary

On behalf of CNS Cares (“CNS” or “Company”) this position is responsible for fulfilling several administrative, clerical and operation duties as listed below. In addition to the duties listed below, this position works as the administrative assistant to the Denver executive team. In addition to answering phone calls, typing, filing, and generating reports; this position may perform duties such as record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, working on special projects, and assisting in outreach calls to patients or staff as needed. Deals with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization.

Essential Functions

The successful team member will be comfortable communicating with others at all levels of the organization, committed to regular and punctual attendance, and perform with utmost integrity in all aspects of the position.

  • Work with Senior Leadership Team regarding site locations and office leases for remote offices as assigned
  • Work with State Administrators regarding obtaining business licenses as assigned
  • Work with Senior Leadership Team to obtain state licenses, as needed
  • Coordinate and execute purchase, contracts, and set up of equipment and furniture
  • Take minutes at Governing Body Meetings
  • Maintain Contracts and Licenses as assigned

o Work with State Administrators or Management to complete applications

  • Schedules and organizes activities such as meetings, travel, conferences, and department activities?
  • Creates and develops visual presentations and reports as requested
  • Establishes, develops, maintains and updates filing system(s) for the Operations department. Retrieves information from files when needed
  • Organizes and prioritizes large volumes of information and calls
  • Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information
  • Answers phones for the Denver office. Takes messages or fields/answers all routine and non-routine questions. Works in cooperation with other support team members to cover phones
  • Develops and maintain logs as requested
  • Conducts internal audits and support in compliance of State and Federal regulations
  • Acts as a liaison with other departments or regions and outside agencies, including high-level executive staff
  • Handles confidential and non-routine information
  • Has knowledge of policies and procedures and explains policies, when necessary, participates in the Company’s policy committee
  • Works independently and within a team on special nonrecurring and ongoing projects
  • Acts as project manager for special projects, at the request of leadership, which may include but not limited to the following: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating informational material
  • Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy
  • Support in Staff Communication
  • Review and complete forms as needed
  • Other duties as assigned

Other Related Functions

  • Insurance and vendor policy review and management

o Review policies for accuracy

o Request changes to policies, as needed

o Add office locations to policies

o Manage vehicles and drivers for company vehicles

Request Certificate(s) of Liability, as needed

Requirements:

Education/Training

  • Associates Degree
  • Experience in excess of 5 years in a similar position will be considered in lieu of education
  • High level of proficiency with Microsoft Office
  • Knowledge of Electronic Medical Records Systems preferred
  • Strong communication skills-both written and verbal
  • Healthcare experience preferred
  • Include preferred education or experience in lieu of education

Licensure/Certification

  • Valid Driver’s License

Experience

  • Minimum of two (2) years of administrative experience
  • Multi-state administrative support referred.
