As Senior Executive Assistant to the Vice President of Test and Flight Operations (TFO), you will be responsible for general EA support in addition to serving as the lead EA for the business. Working with other Blue Origin EAs, you will be the primary focal point for Test and Flight Operations administration within the functional business and with external Business Unit and C-Suite Assistants. As a key member of the leadership team, you will assist with general business unit activities, including events, office arrangements and themes, communications, and meetings. You will be expected to learn everything about the business, including travel to the Test and Flight Operations in Florida, Huntsville, and West Texas, and to form relationships that will enable positive and successful collaboration between Kent and our test and flight locations.
Responsibilities:
  • Executive support - Work closely and effectively with senior management to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Exercise good judgment while maintaining a realistic balance among multiple priorities.
  • Calendar - Manage a very active calendar of appointments. Plan, coordinate and ensure the schedule is followed and respected. Provide gatekeeper and gateway role, creating win-win situations for direct access to executives. Work closely with the Senior Advisor to VP of Test and Flight Operations to ensure seamless coordination between actions and calendar requirements (meetings, time to work, time to prepare). Need to have the ability to balance the ‘tactical’ details of a sophisticated calendar and proactively manage the strategic time needs of VP organizational priorities, actions, and events. Work with Senior Advisor and TFO leadership to compile and organize read ahead materials with sufficient advance time for VP to prepare for meetings. Run daily execution of the calendar by keeping VP on time and aware of priority meetings and daily calendar commitments.
  • Travel - Arrange sophisticated and detailed travel plans, itineraries, and agendas; compile documents for travel-related meetings. Complete expense reports timely, following and implementing policy.
  • Writing & Editing - Compose and prepare draft documents and correspondence that are sometimes confidential. Review customer facing white papers and proposals for quality and grammar.
  • Tasks - Successfully complete tasks and critical aspects of deliverables.
  • Organization – Using strong organizational skills, perform and prioritize multiple tasks seamlessly with excellent attention to detail. Prioritize conflicting needs. Handle matters expeditiously and proactively, following through on requirements to successful completion, often with deadline pressures. Adapt to challenging demands in a fast-moving environment.
  • Personnel – Using strong social skills, establish relationships with team members.
  • Office Management – with others, you will be the primary manager of office logistics, including supplies, support for new-hire start-ups, and office appearance and themes
  • Meeting and Event planning and execution – with others, you will be the primary leader of customer/partner meetings and employee morale events.
  • Problem Solving - Demonstrate proactive approaches to problem-solving with strong decision-making capability. Demonstrate high attention to detail and perfect execution.
Qualifications:
  • Bachelor's degree or equivalent required
  • Strong work tenure: five to seven years of experience supporting senior level executives, preferably in a technical or manufacturing environment
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point),
  • Strong oral and written communication skills, interpersonal skills, and high customer service capabilities and delivery
  • Administrative skills, organizational skills and problem-solving skills. A bias for action.
  • Emotional maturity; positive, low-stress behavior, in words and actions
  • Proven track record handling confidential information with discretion
  • Must be a U.S. citizen or national, U.S. permanent resident (current Green Card holder), or lawfully admitted into the U.S. as a refugee or granted asylum.
