This role is 4 days per week onsite in our office located in South Norwalk, CT and 1 day remote. The ideal candidate for this role will work out of our Norwalk, CT location. This person will report to our Chief Possibilities Officer.
Executive Assistant Duties, supporting CEO & Executive Team:
- You will directly support the CEO, as well as indirectly provide support to the rest of the Executive team and the wider staff
- Provide organizational and operational leverage to the CEO, who has a large number of audiences to interface with and enable on a daily basis, including: internal staff, external staff, clients, employer partners, vendors, customers, and more
- Primarily manage the CEO's calendar, including day-of adjustments, just-in-time rescheduling, weekly meeting cadence, and general time optimization, also lending support to the Executive team, as needed
- Book executive travel, dinners, and meetings with a mind for quality, cost, and related vendor management
- Provide lightweight personal assistance to the CEO/Executive team, including the scheduling of personal appointments, facilitation of social meetings, and light service management
- Work closely with CEO on charitable foundation initiatives
- Perform additional duties and projects as assigned
Agency Support:
- Meet, greet, and provide a great experience and welcoming environment to visitors, staff, and clients in the office
- Assist with a variety of initiatives, projects, celebrations and perks across company functions, including sourcing, research, contracts, supplies, projects, operations, relationships, and client servicing to support Agency needs
- Support on-boarding of new hires, including engaging with IT manager to ensure a smooth experience
- Ownership of first day employee experience / new hire kit process (selection, restock, mailings, etc.)
- Coordinate company-wide celebrations, perks and meetings including, but not limited to, happy hours, holiday events, swag table, in-office meals, and sending life event recognition to staff
- Accountability coding for company expenses (e.g., subscriptions)
- Ownership of the company-wide calendar
Office Manager Responsibilities:
- Point of contact for office buildings maintenance, parking permits and security FOB’s
- Maintain office equipment, including cleaning and repairs.
- Ownership of inventory and ordering of office supplies,
- Provide clerical support when needed to assist staff with administrative duties such as answering phones, sorting and distributing mail, and ensure overall office readiness
The physical demands of this role require the following:
- Bending, squatting, crouching and reaching, climbing, kneeling, and stooping including to arrange and display point of sale
- Frequent lifting and moving cases of product and other objects of 50 pounds or more

- Associates degree or Bachelor's degree preferred
- At least three years of administrative experience required
- Possesses uncompromised ethics and integrity; practices discretion with employee and company information
- Extensive knowledge of office management procedures
- Exceptional verbal and written communication skills
- Strong organizational skills and attention to detail
- Proven track record of interpersonal and customer service skills
- Time management skills with a proven ability to meet deadlines
- Demonstrates a strong sense of ownership and self-motivation; ensures goals are met in a timely manner
- Capable of working independently or with a team respectfully and effectively to achieve quality results
- High level of tactical skills and the ability to work across all levels of the organization in a matrixed, team environment
- Proficient with Microsoft Office Suite or related software
Additional Information
The base compensation range for this job classification is between $70,000.00 and $90,000.00. The determination of what a specific employee in this job classification is paid depends on a number of factors, including, but not limited to, prior employment history/job-related skills and qualifications, length of service and geographic location. This job classification is bonus-eligible, with bonus potential subject to applicable bonus plan terms and conditions.
