The University of Pikeville (UPIKE), the Leading University in Central Appalachia, is seeking applications for the full time position of Executive Assistant for Student Success, who is responsible for the day-to-day administrative tasks of the division. Under the direction of the Assistant Dean of Student Success, the Executive Assistant is responsible for providing exemplary customer service, utilizing highly developed organizational and communication skills, maintaining the calendar of the Assistant Dean and Assistant Provost of Retention, Division-wide meetings, and upholding confidentiality and the mission of the University.

Responsibilities:

  • Provide advanced administrative support to the Assistant Provost of Retention, Assistant Dean of Student Success, and division of Student Success, such as answering telephones, scheduling appointments via Outlook, Zoom, Microsoft Teams, etc. for the Assistant Provost and Assistant Dean, and directing students, faculty, staff, parents, and visitors to appropriate services or offices on campus.
  • Manage a variety of tasks, set priorities and meet deadlines, think critically, and exercise judgement to seek support or answers from a supervisor when necessary.
  • Plans and organizes meetings, events, or special projects within the division.
  • Attend meetings to take concise, accurate minutes and notes, then follow-up on action items.
  • Assist with registration for professional development opportunities and travel arrangements.
  • Perform data entry utilizing word processing, email, spreadsheets, databases, and other technologically enhanced tools to carry out responsibilities in an efficient manner.
  • Complete filing and/or scanning of documents using Image Now software for digital record-keeping.
  • Supervise Federal Work Study students assigned to the Center for Student Success.
  • Order supplies and equipment, track orders to assure delivery and payment, and maintain inventory of current supplies.
  • Enhances professional growth and development through participation in educational trainings, current literature, and workshops.
  • Demonstrate exceptional written, verbal, and interpersonal communication skills.
  • Handle incoming and outgoing mail, including the ability to make campus deliveries or lift light packages.
  • Other duties as assigned.

Relationships:

Position requires daily contact with co-workers, supervisor, and employees of the institution in order to schedule meetings, prepare documents, and perform basic administrative duties. These relationships are maintained through e-mail, fax, telephone, Zoom, Microsoft Teams, and person-to-person contact.

Education/Skill Requirements:

  • Bachelor’s degree preferred.
  • Ellucian experience preferred.
  • Must have experience working with office equipment, e.g. computer, servers, office phone, cell phone.
  • Must be proficient with Microsoft Office, particularly Word and Excel.
  • Must be able to perform simple calculations.
