The Communications and Marketing (CM) team is responsible for building and maintaining the College Board reputation, overseeing the organization's communications efforts, and growing the organization’s three highest priority areas: AP, SAT Suite, and BigFuture, which are designed to increase educational access and opportunity for all students. About the Opportunity
As the Executive Assistant you are a critical team member that supports the Chief Communications and Marketing Officer; Senior Director, Special Projects; and the CM leadership team to drive our most critical goals and priorities forward. At the core of this role, you serve as a detailed organizer who maximizes leaders by scheduling meetings, managing expenses, and booking travel. As the Executive Assistant you’re ready to take on a role that allows you to learn and grow and you’re eager to meticulously execute your primary responsibilities. You are excited to inquire about ways to take on new tasks that pique your interest and provide added value to the Chief Communications and Marketing Officer and organization. You’re a go-getter - described by others as an unstoppable force - who stays calm, organized, and coordinated under pressure.

In this role you will:

Provide superb administrative support to the Communications & Marketing leadership team (60%)
  • Manage complex calendars and scheduling across the Chief Communications and Marketing Officer and CM leadership team
  • Manage all expense aspects of the CM leadership team
  • Manage all travel aspects of the CM leadership team

Provide financial reporting and expense management support (20%)
  • Support the paid media team to manage budgets and expenses
  • Work with financial departments to generate and track purchase orders and payments, specifically tracking requisitions and purchase orders through Zycus
  • Collaborate with finance and accounts payable departments to submit accruals and reclass reports
  • Prepare, maintain and review purchasing files, reports and prices lists; process invoices and resolve billing issues
  • Coordinate with internal and external stakeholders on contracts, SOWs, and the overall procurement, finance, and budgetary administrative process

Assist with varied projects and engage with the division (20%)
  • Support the Director, Special Projects to capture critical information, notes and next steps
  • Gather pre-reads, materials and information to support the day-to-day management of the Chief Communications and Marketing Officer
  • Work cross-functionally with other Executive Admins to coordinate meetings, events and agendas
  • Support, execute and assist on team activities (staff meetings, agendas, all-hands, off-sites and social events)
  • Manage the team space and supplies

About You
  • You have expertise in administrative assisting with 2-4 years assisting at the executive level
  • You possess strong organization and prioritization skills and the proven ability to move forward multiple projects in concert, both independently and as a member of the team
  • You work well under pressure and value and seek out feedback
  • You are trustworthy, have excellent judgement, and are a skilled collaborator
  • You can embrace ambiguity and a willingness to take on new tasks
  • You are obsessed with details, highly organized, and have impeccable follow through
  • You have systems and routines that guide your daily operations and help you squeeze efficiency and productivity out of both your time and the time of others
  • You have adept problem-solving skills, including the ability to consume complex information, make decisions, and use creativity to increase efficiency
  • You have exceptional written, verbal, and interpersonal communication skills
  • You have command of the technologies that guide our work, specifically Microsoft Outlook, Teams, and Expense Systems (e.g. Concur)
  • Ability to travel 3-4 times per year
