Overview:
The Executive Assistant shall serve The Navigators and fulfill the responsibilities listed below in the spirit of The Navigators calling, values and purpose: To advance the Gospel of Jesus and His kingdom into the nations through spiritual generations of laborers living and discipling among the lost.

This person will assist and represent two leaders: International Vice President and Strategy Implementation Manager. This includes written and verbal communications, finances, travel, donor relations, meeting planning, and other tasks as assigned.
Responsibilities:
Administrative Responsibilities 75%
  • Maintain calendars including scheduling and confirming appointments and speaking engagements.
  • Represent the International Vice President and Strategy Implementation Manager to office visitors and callers when they are away.
  • Arrange and coordinate travel arrangements for the International Vice President both domestic and international. This may include flight research; car, train and hotel reservations; visa applications; communication with co-travelers, etc.
  • When the International Vice President’s spouse is participating in Navigator meetings and travel, arrange and coordinate arrangements for her.
  • Assist with written communication of both letters and emails including preparing drafts.
  • Manage and update databases of contacts.
  • Format and handle the electronic and hard copy distribution of newsletters.
  • Create and distribute meeting minutes.
  • Provide logistical support for meetings.
  • Assist in preparing content for meetings such as a NavWorld Regional Gathering.
  • Maintain files, both electronic and hard copy.
  • Assist in tracking action items and deadlines.
  • Additional items as assigned by the International Vice President or Strategy Implementation Manager.

Financial and Fundraising Responsibilities 15%
  • Prepare monthly expense reports for the International Vice President, Strategy Implementation Manager and self by the 15th of each month.
  • Make purchases as requested by International Vice President or Strategy Implementation Manager. (e.g., books, office equipment)
  • Prepare monthly donor reports and action lists.
  • Track needed and completed communication with donors.
  • Assist in planning donor visits.
  • Document in Salesforce the development calls and letters to major donors planned and completed by members of the International Executive Team and IO Development Director and Specialist.


Additional Responsibilities 10%
  • Participate in the International Office (IO) administrative assistants’ team weekly meetings.
  • Operate with the other assistants as a team. This involves occasionally serving another assistant when they need to be away from the office or when they are meeting an unusually difficult deadline.
  • Participate in general office projects and events such as NavWorld, the annual Christmas party and the GSP welcome dinner.
  • Participate in miscellaneous and spontaneous meetings, projects, tasks and requests for service that come up in the IO.
  • Participate in development events such as Navigator on-site events, Cultural Development and Diversity trainings or other non-Navigator developmental events as appropriate.
  • Read spiritually and culturally developmental books and literature.
  • Participate in the annual, organizational Plan and Progress Review (PPR) process.
Other job related duties as assigned by supervisor
Qualifications:
  • Belief in and adherence to the Statement of Faith and Mission of The Navigators.
  • Typically requires bachelor’s degree in business and/or five to seven years of work equivalent in executive office environment.
  • Strong communication skills, both oral and written (editing, proofreading, spelling, and grammar.)
  • Understanding of basic accounting principles.
  • Strong leadership skills to work effectively with all levels.
  • Proficiency in Microsoft Office applications and willingness to learn new software as needed.
  • Knowledge of Navigator ministries is an advantage.
  • Ability to take initiative, anticipate needs and work with minimal supervision
  • Ability to handle sensitive information with a high degree of confidentiality
  • Professional demeanor; comfortable working with people at all levels
Compensation Range: $43,000 to $50,000/year
