The Executive Administrative Assistant will provide support to Executive leadership with emphasis on supporting the President/Owner and assures efficient day-to-day operation of the office. Responsibilities include own and update the President's calendar, managing and implementing administrative processes, organizes and executes multiple large group meetings including site selection, travel arrangements and all other logistics and support. Requires discretion, critical thinking, the ability to work autonomously and maintain a high level of confidentiality. This role represents Shoppa’s Material Handling and requires professionalism, a great attitude, excellent communication skills, a team player mentality and outstanding customer service

Essential Functions:

  • Effective interpersonal skills and relationship-building skills
  • Analytical and problem-solving abilities, highly organized, with keen attention to detail.
  • Effectively multi-task and prioritize duties by deadline/relative importance and execute in a high-pressure environment.
  • Able to formulate appropriate responses to requests for data, services and information from internal or external customers with a wide range of personalities and demeanors.
  • Plans and directs all administrative activities for the President and assists with assigned projects.
  • At times, supports other company leaders with projects, with approval from President.
  • Owns and update the President's calendar.
  • Prepares documents, emails, presentations and meeting materials, and follows up after meetings as needed.
  • Responsible for travel and entertainment arrangements for President and other Shoppa owned company or personal business as required
  • Uses skill and judgment to ensure written and verbal outputs are clear, accurate, grammatically correct and of appropriate tone.
  • Proofreads work to identify errors and corrects work to a highly accurate final version.
  • Requires confidentiality of company and customer information as this position will be a "see-all" in maintaining President's calendar and emails.
  • Maintains a strong customer service orientation. Works effectively with diverse individuals.
  • Collects and prepares information for use in discussions/meetings of executive staff and outside individuals.
  • Makes high level contacts of a sensitive nature inside and outside the company.
  • Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.

Other Duties:

  • All other duties and special projects as assigned.


Physical Job Demands:

  • Sit at workstation for extended periods of time using the computer, telephone, and other office equipment such as copier, fax machine, scanner, etc. Required to bend, stoop, reach occasionally and be able to lift up to 15 pounds occasionally.

Bachelor’s degree; minimum 5 years' experience as an Executive Assistant to the C-Suite. Proficient at Microsoft office and adept at leveraging various software platforms such as SharePoint, Teams, Excel, PPT, etc. Ability to prioritize & perform multiple tasks; detailed oriented, professional demeanor, excellent verbal and written skills and comfort with ambiguity. Exceptional organizational and interpersonal skills required. Positive attitude and well-groomed professional appearance required. MUST be a team player
