The Executive Assistant coordinates and performs a broad range of clerical and administrative tasks for the Executive Team by performing the following duties. Act as the liaison for renovation projects for members of the Manor Vail Condominium Association and other special projects as directed by the General Manager.

  • Earns between $24-$27/hr

What you will have an opportunity to do:

Performs opening and closing procedures of the office each day.

Establishes and maintains filing systems.

Supports Management Team by performing administrative functions such as preparing correspondence, filing, answering, and directing phone calls.

Analyzes and organizes office operations and procedures such as information management, filing systems, requisition of supplies, and other clerical services.

Maximizes office productivity through proficient use of appropriate office equipment and software.

Maintains office equipment including Copy Machine, Fax Machine, and Postage Meter.

Order office supplies.

Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.

Ensures housekeeping of office space is done daily.

Receives guests by providing proper direction.

Provides administrative support to guests and owners of the property as requested.

Handles incoming and outgoing mail for the property.

Assists other department heads when necessary including Human Resources/Training/Employee Relations and Recognition, Sales, Owner Services, Maintenance, Accounting, and Marketing/Reputation Management.

Takes lead in updating owners’ portal– by ensuring new material including meeting notices, meeting minutes and pictures are current and that old material is pulled off of site in a timely manner.

Keep a current list of MVCA Owners; prepare an annual Owner mailing list for distribution.

Assist General Manager with the preparation of the MVCA Board Meetings and Annual Owner Meeting.

Prepare and distribute meeting minutes per the MVCA declaration for the Board Meetings and Annual Owner Meeting.

Support Board Members with Administrative duties as requested.

Assists with Owner Administration duties as assigned by the Director of Owner Services.

Assists in the operations (i.e. Food and Beverage, Rooms, etc.) as needed.

HOA or Resort experience is a plus.
