Overview:
The Legal Operations teams in looking for an Executive Assistant to support the General Counsel and team of attorneys.
Responsibilities:
  • The ideal individual will demonstrate excellent critical thinking and interpersonal skills, with strong written and verbal communication and a proven ability to anticipate needs.
  • Through superior organization, collaboration and sound judgment, this individual will maintain a realistic balance among multiple priorities.
  • The Executive Assistant will work independently and follow through on projects from conception to completion.
  • To be successful, this individual must multitask, prioritize work and exhibit accountability and discretion.
  • Perform broad administrative support for EVP, Legal Affairs & General Counsel and the Assistant General Counsel for Corporate and Regulatory Affairs (“Executives”), including: managing calendars; work tracking; arranging travel; maintaining CLE files; screening calls and mail; planning meetings and events; completing expense reports; composing correspondence; managing hard copy and electronic documents; ordering supplies.
  • Interacting with senior leadership, including the office of the CEO, hospital presidents, clinical and operations personnel and their respective teams, outside counsel and Board of Trustees members as required.
  • Provide broad administrative support to staff attorneys as requested.
    Coordinate and assist with special projects under the direction of the General Counsel including preparation of the annual budget, Board of Trustees annual meetings and committee meetings, and specifically the Board Governance Committee, Board orientation and training and due diligence on major transactions and other document productions.
  • Provide a bridge for smooth communication between Executives and AHS departments.
  • Maintain credibility and trust by providing valuable support for system boards and committees and other key stakeholders.
    Investigate identified issues expeditiously, ensuring appropriate and timely resolutions.
Qualifications:
Education:
  • Bachelor's degree preferred.
Qualifications/Requirements:
  • 5-8 years C-Level support, preferably in operations and/or healthcare. Legal experience a plus.
  • Proficient in Microsoft Office, SharePoint, Power Point and Adobe Acrobat. Proficiency with Conga contract management system a plus. Willingness to learn Conga required.
  • Strong organizational skills that reflect excellent attention to detail.
  • Innovative thinker, who seeks problem-solving opportunities and proposes solutions.

  • Ability to build relationships internally and externally.
  • Highly resourceful team player, with the ability to also be effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to competing demands, and demonstrate the highest level of customer service.
  • Demonstrated ability to achieve goals and meet deadlines in a fast paced environment
