Girl Scouts of Western Washington is looking to add to the Philanthropy team, as a Donor Data and Stewardship Manager. The Donor Data and Stewardship Manager is to provide comprehensive administrative support to the Philanthropy Department, with a focus on office and fundraising support, effective database management and reporting, event support, and donor stewardship efforts. As necessary, the Donor Data and Stewardship Manager will assist in the recruitment and monitoring of volunteers to help with department efforts. This is a regular, full-time position with requirements to being or becoming a WA resident.

Requirements:

ESSENTIAL FUNCTIONS:

Fundraising Support

  • Oversee all daily data entry, including gift entry, ongoing imports, capturing donor relationships, actions, and notes when needed. Oversight also includes the filing of state charitable registrations for solicitations in direct mail.
  • Provide support when acknowledging appropriate financial and in-kind donations by correspondence.
  • Support timely and accurate donor documents for individual, corporate, and foundation donors as needed (impact documents, grants, proposals), including proofreading, formatting, and sending.
  • Maintain highly accurate and current donor data that effectively track key information, cultivation activities and histories, and solicitation for accurate reporting.
  • Process donor acknowledgments and gifts in a timely manner.
  • Coordinate regular updates to donor acknowledgment letters.
  • Provide fundraising support to committee/board and team meetings, including document creation, note-taking, and follow-up.

Office Support/General

  • Provide general clerical support, such as word processing, proofreading, faxing, copying, filing, broadcast e-mailing, reporting, campaign tracking, and schedules.
  • Provide professional assistance and interaction with donors (via phone, computer, and face-to-face).
  • Review current data practices to establish and maintain best practices and procedures.
  • Schedule and assist with various staff and volunteer leadership meetings.
  • Support episodic volunteer administration.
  • Anticipate and coordinate software upgrades as needed.
  • Support the Finance Department with the annual audit.
  • Support training needs on all databases as needed.
  • Handle additional special projects as needed.

Event Support

  • Maintain thorough and accurate database records to create audience lists and other database reports as needed.
  • Assist fundraisers with the execution of invitations, communications, mailings, table assignments, and name tags.
  • Assist with supply orders, pick-up logistics, etc.
  • Support day-of logistics and registration needs.

EDUCATIONAL REQUIREMENTS:

An associate degree or equivalent experience

SKILLS AND EXPERIENCE REQUIRED:

  • Two years of experience in developing business processes and documentation for donor databases.
  • Two years of experience with direct donor stewardship/customer service.
  • Demonstrated exceptional organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office, including Word, Excel, and PowerPoint, and website-building tools, such as WordPress. Experience in Donor Perfect, Classy, or Greater Giving is preferred but not required.
  • Excellent interpersonal skills to establish, build and maintain effective working relationships with colleagues, board/committee members, donors, future homeowners, family partners, and volunteers.
  • Self-motivated, with the ability to work independently, handle concurrent tasks and make appropriate judgments and decisions.
  • Ability to maintain a high level of confidentiality.
  • Occasional flexibility to work longer hours, evenings, and weekends as needed.
  • A collaborative team player.
