Essential Duties and Responsibilities
To perform this job successfully, an individual must be able to satisfactorily perform each essential duty listed below. As a condition of employment, effective August 31, 2021 all employees are required to be fully vaccinated against COVID-19.
Responsible for performing various clerical duties that ensure the Detention Center functions in an efficient manner, including typing, data entry, filing, copying, and distributing mail throughout the Detention Center.
Answers telephone, refers calls, takes messages and responds to inquiries from Detention Center and Court staff, police officers, parents, and other parties.
Serves as initial point of contact to members of the general public reporting to the Juvenile Court and/or Detention Center.
Assists in directing families to various departments/courtrooms throughout the facility.
Confirms identities of visitors to the Detention Center and registers visitors within electronic detention/case management software.
Works directly with Detention Officers during the admission process.
Processes juveniles who are authorized for admission to or release from the Detention Center.
Creates and maintains confidential resident files for youth admitted to the detention center. Compiles all associated paperwork including, but not limited to: resident property sheets, mental health screening tools, resident call sheets, etc.
Completes and maintains an accurate running count of all current residents of the facility.
Prepares and distributes various reports, including but not limited to: Daily Detention Center Arraignment Docket; Daily Hearing Dockets for Secured Detention, Shelter Care-Secured Detention and Placement Daily Release; Daily Admissions, and Daily Transfers reports; etc.
Electronically processes all admission, transfer, and release tasks submitted by Judges and Magistrates in various case management systems.
Verifies and ensures accuracy of resident data within various electronic case management systems.
Communicates with Detention Center staff via hand-held radio and operates base station in accordance with FCC regulations.
Performs other duties as assigned or directed.
Supervisory Responsibilities
Has no direct supervisory responsibility for staff members.
Equipment Operated
Standard office equipment and office technology such as copy machines, personal computers, and telephones.
Confidential Data
All court-related information regarding hearings, etc. that the employee may come in contact with by working in the facility
Working Conditions
Potential exposure to hazardous situations that may occur due to working in the court environment can be tense and hostile atmosphere, contagious diseases, loss of bodily fluids, vulgar and obscene language, emotionally charged situations. The employee must have the capacity to work in closed environment and work with criminal offenders, some of whom may be dangerous. Occasionally handles emergency or crisis situations; frequently subject to interruptions, and multiple calls and inquiries.
Usual Physical Demands
While performing the duties of this job, the employee is required to sit, to speak clearly, and to hear. The employee must occasionally lift and/or move up to 20 pounds.
Knowledge, Qualifications, Skills, and Abilities
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Ability to prioritize job tasks and to complete them without direct supervision. Ability to communicate with Detention Center and Court staff and the public. Ability to operate computer, typewriter, and other office machines.
Education and/or Experience
High school diploma or equivalent
AND
Six (6) months of clerical experience preferably in a court setting.
Licensure or Certification Requirements
None.
