The Transportation I-Trade Coordinator is a key supporting position across the varied Coty International Supply Chain. This position will execute a high level of coordination between the Consumer Beauty, Luxury and Professional Customer Service Teams, International Markets, DRP Planning Hubs and DC Operational teams to execute order to delivery of Import/Export orders for the North American region. Responsibilities of the position should include all items listed but may not be limited to these items.
THE ROLE
In this role you will be responsible for:
Order management
Order allocation activities in SAP for specific sites (Riverside/Westrock international shipments), inventory checks and rescheduling.
Consolidation and Container Sizing.
Hazardous Goods status checks and equipment assignment.
Generation of specialized shipping documentation (SLI’s, Commercial Invoices/etc.);
Coordination/Communication with Freight Forwarders, Brokers, Customer Service and DC personnel to arrange pick-ups and deliveries where applicable
Oversite and reporting responsibilities to the markets for order status
Outbound Booking/Tracking
Booking Ocean export shipments and further lead-time monitoring: Riverside DC, Hunt Valley, Returns, and exception moves.
Booking Air export shipment and further lead-time monitoring: Riverside DC, Hunt Valley, Returns, and exception moves.
Updating Track and Trace File and SPOC for Export Track &Trace.
Expedited export/delivery arrangements.
Assistance and troubleshooting for issues between DC and Freight Forwarder.
Providing manual SLI (Shipper’s letter of instructions) information to Forwarder and Other documents per needed (Pre IMO/Commercial invoice print outs/ Manual Documentation).
Export documentation assistance for shipping locations (DC, Plants) to include manual adjustments of Invoices, generating customs Invoices, preliminary IMO, other documents upon request.
Shortage/Damages claims review.
Providing different teams (Consumer beauty, Salon Pro, Luxury) with estimated freight rates for possible shipping lanes under various mode/ports scenarios.
Weekly meetings and communications with DC locations to share order execution status, identify and resolve roadblocks.
Inbound/Import support and Tracking
Vendor referrals resolutions (assistance with problematic import entries – release from entry holds).
Obtaining of urgent import authorizations for new codes, that arrive unannounced.
Track, Trace and prioritize inbound shipments through standard and expedited means where applicable
Market Sheets Management
Create and maintain Market sheets / shipping instructions for existing and new locations
Support new lane creation and new go to market activities
Project work
Creating SOPs, Instructions, other operational guidance for I-Trade, DCs and other teams involved in above listed functions.
Support supply network design/change projects
Act as contact to assist in in-transit issue resolution
Monitor and maintain proper equipment pool requirements @ DC and Plant locations
Monthly/Daily reporting of shipment metrics/statuses where applicable
Attendance and active participation as Transportation representation in Month End and Quarter End service meetings.
Perform analytics and deliver insights derived from system data specific to On Time Shipping patterns to include Root Cause research for issue resolution.
Suggest improvements to current work processes
Create and update process flow maps and standard operating procedures based on input from individuals and first-hand observation of the process
Work cross-departmentally to resolve problems
Identify and analyze root cause of problems and develop/execute action plans to mitigate
Lend visible support to projects, goals, and change management
Maintain high level of organization
QUALIFICATIONS
We’d love to see candidates who have:
Special Skills Required:
Deep knowledge of working with big data, data mining, excel sheets, Pivot tables, data analyses, also experience working with SAP and web base applications
Intermediate knowledge of Incoterms and end to end supply chain
Intermediate understanding of Freight Terms, modes of shipping, and shipping documentation to include but not limited to:
Bills of Lading
Packing Lists
MOS (Memorandum of Shipments)
Hazardous Declarations
Pallet Placards
Commercial and Custom Invoices
Leadership, ownership, and Project Management skills (planning, organizing and resource allocation)
Strong analytical, reasoning and problem-solving skills
Functional ability in WMS systems such as DHL’s PKMS, Manhattan system
Exposure to Transportation Management Systems
SAP literacy, exposure, and prior knowledge a plus
Previous experience in import/export roles a plus (Transportation, Order Management, Customs experience beneficial)
Ability to define problems, collect data, establish facts and draw valid conclusions
Education/Experience:
BA/BS from an accredited college or university
Experience of 3 years or greater in an operational, Customer Service or Distribution center role, preferably in transportation or logistics.
Position Type/Expected Hours of Work
This is a full-time position.
This position requires the ability to work mandatory overtime to meet business needs either within the day and/or the weekend and business operates on multiple shifts.
Work Environment:
Duties of job are performed across a combined office and Distribution Center environment. Exposure to distribution center pick centers, assembly line machinery and powered industrial equipment possible.
Physical Demands:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
Sedentary: Requires exertion of up to 10 pounds of force occasionally or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body. Requires about 6 hours of sitting and no more than 2 hours of standing or walking in an 8-hour workday. No significant stooping is usually required.
Duration & Repetitive Standards
