The Performance Minerals segment of Specialty Minerals produces and sells the synthetic mineral product precipitated calcium carbonate (PCC), mines mineral ores and processes and sells natural mineral products, primarily limestone and talc. This segment's products are used principally in the paper, building materials, paint and coatings, glass, ceramic, polymer, food, automotive and pharmaceutical industries. The Dillon, MT plant specifically, produces talc.
Job Summary
Under general supervision, the Customer Service Representative provides customer service and order processing support to SMI’s various customers serviced from the Dillon, MT Plant. The Customer Service Representative will have frequent interaction with customers, purchasing agents, field and inside sales staff, marketing, accounts receivable, transportation sales and administrative staff, freight carriers, third party service agents and regulatory agencies.
Primary Duties & Responsibilities
- Responds to customer inquiries effectively communicating information on products, orders, pricing and availability.
- Takes customer orders (by phone, e-mail or fax) and enters information in ERP system modifying as needed
- Works with production personnel to ensure available inventories and appropriate lead times necessary for customer orders
- Administers new account credit information, including the customer credit application
- Uses established dispatch methods to schedule order pick up according to customer preference and competitive rate structure
- Investigates, communicates and resolves shipping issues with carrier shipments
- Investigates, communicates and resolves shipping issueswith carriers
- Responds to customer order status inquiries
- Responds to customer sample requests and ensures shipment and delivery in a timely manner
- Communicates effectively with Production and Quality Assurance personnel as needed
- Management of Consignment order process
- Manages shipment transit cycle to ensure delivery to customer on a timely basis
- Verifies application of appropriate charges such as freight, fuel surcharge and energy surcharges for invoice accuracy.
- Processes credit and adjustments for account receivables
- Monitors Rail/Transload/Customer order interfaces
- Host customer visits and plant tours, assist with customer audits
- Codes freight invoices and forwards to CASS Information Systems for payment
- Uses a variety of established company and carrier databases to enter and track customer orders
- Run regular business reporting on KPIs including but not limited to open order reports, late shipment reports, batch reports, shipping efficiency reports.
- Be aware of and uphold plant safety protocols and standards.
- Other duties as assigned.

such as 5S, Kaizen, Total Productive Maintenance (TPM), Daily Management Control, Standard Work and Problem Solving.

Education: High School Diploma or equivalent required.
Work Hours: The schedule is first shift 6:00 am to 2:00 pm. However, employee must have ability to work the shift/number of hours in which duties need to be accomplished, including overtime, holidays and weekends, as necessary.
Travel: Travel may occur on an infrequent basis.
Working Conditions: While performing the duties of this job, the employee is typically required to regularly conduct work in both a controlled office environment and plant production environment, moving around the work area as needed, sitting at a desk and standing regularly, and using office equipment, including but not limited to a personal computer, fax, copier and phone. Constant contact with individuals internal and external to the organization, including truck drivers, occurs via various methods of communication typically including face-to-face discussions, electronic mail, phone calls, written letters and/or faxes. There is exposure to plant production areas, which includes exposure to outside weather conditions as well as loud noise from equipment and dust from production processes. Exposure to plant areas requires the use of appropriate safety equipment. Personal protective equipment is available for employee use in these circumstances.
Knowledge, Skills & Abilities: Must have knowledge of the English language, customer service, modes of transportation, clerical procedures, and transportation regulations including but not limited to hazardous materials shipping requirements.
Being under limited supervision, the employee is expected to be self-directed, take initiative and be persistent when appropriate to accomplish necessary duties and keep busy without prompting from the supervisor. Additionally, the employee is expected to be adaptable/flexible to changing work assignments, have a high level of integrity, dependability and self control to maintain composure, perform multiple tasks at once, learn and memorize procedures, manage time effectively and efficiently, meet established deadlines, display a cooperative demeanor, read, understand and follow all company, job specific and safety policies/procedures, and attend/use all required training.
Safety Training: A new employee hired to perform the duties of this position is to be provided New Employee Training from a qualified individual, which consists of classroom training and may include a tour of plant area(s). Refresher safety training will be required as management deems appropriate and/or as dictated by MSHA regulations.
