About the Role
The Compliance Specialist provides support in functional areas of the Legal and Compliance Team such as Training, Regulatory Compliance, Data Ethics, Compliance Reporting, Records Management, and Audit functions. This person creates work used to prevent non-compliance, follow up on potential violations, and ensures corrective action is taken for violations related to the Compliance programs.
The Compliance Specialist builds effective communications based on target audiences using PowerPoint, social media, and other platforms (such as graphic design and e-learning development software) as appropriate. This role will track employee engagement with the Compliance website and makes updates, adjustments, and additions to the site as needed to ensure the most accurate and engaging information is available to employees. This position prepares engaging presentations to assist with Compliance & Data Ethics initiatives both internally and externally.
What You Will Do
You will be tasked with implementing and upholding procedures and policies that meet the required standards for the company. You will also have to organize employee training and remediation measures as necessary. You will have to work closely with other departments and compliance analysts.
- Manage administration of whistleblower line program, including following up with stakeholders to ensure timely completion of whistleblower line reports.
- Track and respond to complaints, investigations, and investigation remedial actions.
- Analyze data and trends related to investigations and whistleblower line reports.
- Support internal investigations teams and ensure consistent and timely completion.
- Maintain records of compliance activities.
- Assist the VP of Ethics, Integrity and Privacy and the VP of Regulatory Compliance prepare and distribute compliance reporting.
- Act as a liaison between the legal/compliance team and other teams/functions/business units to ensure “one source of truth” reporting.
- Assist in the training of employees on compliance guidelines, requirements, and standards.
- Compile and analyze both internal and external information to prepare compliance audit data.
- Assist in the implementation of policies, procedures, and systems to provide administrative. support to legal and compliance team and answer questions regarding regulations to help other members of the company.
- Ensure documentation is timely entered into the appropriate case management system.
- Provide consultation to managers and Human Resources (HR) in reporting results of fact-finding investigations into team member complaints.
- Provide updates and findings to appropriate stakeholders.
- Collaborate with HR and operational teams to ensure that recommendations and remedial measures are consistent and appropriate.
- Provide data analytics to management by researching and studying trends and various reports.
- Support core compliance programs (i.e., ABAC, Code of Conduct, and other ethics and compliance policies).
- Update job knowledge by participating in educational opportunities and reading professional publications.
Compliance Coordinator Job Requirements
- Bachelor’s Degree in Accounting, Business or related field.
- 3-5 years of experience in related field.
- Proven leadership skills, collaborative outlook, and ability to foster strong relationships.
- Working knowledge of compliance issues.
- Critical thinking, analytical acumen, superior writing, and verbal communication skills.
- Familiarity with computer and necessary software.
- Detail-oriented and well-organized; strong decision-making, analytical, and problem-solving skills.
- Research, documentation, and reporting skills
- Prior experience as an HR professional or compliance specialist highly desired.
- Experience with e-learning development, corporate communications, and instructional design – Preferred
- Demonstrate a basic understanding of the functions, regulations, and procedures of compliance agencies or governing bodies; takes a leadership position in programs that reduce risk and enhance safety.
- Demonstrate understanding of implementation objectives, project plan, and one's role within a project; participates in the implementation of a project; provides timely, thorough, and concise updates for area of responsibility; identifies areas of risk and properly communicates them to the project manager.
