Overview:
The Business Operations Assistant supports the Senior Manager, Business Operations with all aspects of Accounts Payable, Accounts Receivable and financial reporting. This includes corresponding with tenants regarding rent payments, reviewing and approving invoices, preparation of accruals and variance comments, and the completion of various internal financial forms and reports. Additionally, this position tracks lease required financial reporting from our tenants in RMR’s managed portfolio. This requires soliciting and confirming the delivery, propriety, and timeliness of all financial data. Daily communication includes the Senior Manager, Busines Operations, Credit Risk department, Property Managers, Property Administrator, Engineering staff, vendors, tenants, and Corporate Accounting. Interface as needed with Vice President, Retail Real Estate Services, Associate Director, Leasing Director, Asset Management, and Lease Administration.
Responsibilities:


Accounts Receivable (AR), Accounts Payable (AP) and Financial Reporting:

  • Send late letters and follow up with tenants on outstanding Accounts Receivable balances.
  • Review and assist with preparation of annual tenant escalation reconciliations and letters.
  • Contribute to the maintenance of positive tenant relations by professionally assisting with tenant questions relating to accounts receivable.
  • Update the AR watchlist monthly.
  • Assist the Senior Manager, Business Operations with all aspects of billing and collections including the preparation of the monthly AR Report, Demand Letters and Default Notices.
  • Review and approve AP invoices using the real estate/accounting software system following strict procedural guidelines.
  • Prepare monthly accruals and variance comments in compliance with Retail Real Estate Services guidelines.
  • Assist with the preparation of annual budgets and monthly reforecasts.


Financial Statements


  • Track and oversee the collection of lease required, tenant financial statements within varying timelines (quarterly, annually, etc.).
  • Work with Credit Risk department to ensure all financial statements are transmitted and stored in strict compliance with RMR guidelines for sensitive and/or confidential information.
  • Create and maintain a tenant financial statement tracking file (detailing when statements are due, which statements have been provided and which are still outstanding).
  • Institute a naming convention for stored material which ensures ease of generating reports, and quickly accessing stored reports.
  • Perform cursory review of financial statements received from tenants to ensure the information is generally consistent with lease requirements.
  • Work closely with Credit Risk department to obtain revised statements and/or more information as necessary.
  • Using an approved template, independently draft demand and/or default letters for internal review whenever statements have not been submitted as required by the lease.


General:

  • Maintain timeliness and integrity of all property financial information.
  • Comply with company policies and procedures and demonstrate a high degree of accuracy and attention to detail.
  • Assist Associate Director and property management staff as requested.
  • Perform Ad Hoc responsibilities as delegated by Associate Director, Senior Manager, Business Operations, and/or Property Manager.
  • Act as a team member with all RMR employees, demonstrating initiative and leadership skills.
  • Provide back-up to Property Administrator for answering phones, facilitating work orders, and greeting guests, as necessary.
  • Strong work ethic.
  • Must be able to handle multiple projects and changing priorities.
Qualifications:
  • Bachelor’s Degree in Business, Accounting, Finance, Real Estate or related field preferred, Minimum GPA: 3.0
  • One to two years of experience in a Real Estate, Accounting or Finance related position, a plus.
  • Intermediate to Advanced proficiency with Microsoft Office (Excel, Word and Outlook) and other Windows applications.
  • Computer and Communication skills assessment will be administered.
  • Good understanding of financial statements including balance sheets, P & L, etc.
  • Proficiency with Property Management/Accounting software (preferably Yardi and Argus) a plus.
  • Exceptional verbal, written and organizational skills.
  • Ability to work in a fast-paced, collaborative, and results driven environment.
  • Ability to keep information strictly confidential.
  • Must be able to handle multiple projects and changing priorities.
  • Must have strong customer service orientation, be self-motivated, deadline sensitive, and a team player.
  • Computer and communication skills assessment will be administered.
