Benefits Administrator Job at Confidential

This position requires Benefits administration experience and knowledge, including but not limited to ongoing management of the systems, coordinating transfer of data to external contacts for services, premiums and plan administration, oversee maintenance of employee benefits files, maintain group benefits database and update employee payroll records.

  • Responds to employee inquiries regarding benefit options, benefit entitlements, plan design, co-payments, deductibles, and dependent coverages.
  • Administers benefits programs including fulfillment of reporting requirements, monitoring and coordination of general day-to-day administration of health and welfare insurance plans.
  • Suggests and implements audit techniques to ensure maximum effectiveness; coordinates and follows-up on all data preparation, record keeping, recording, reporting and filing of claims applicable to employees.
  • Support efforts to improve efficiencies and effectiveness across the team.
  • Document and maintain administrative procedures for assigned benefits processes.
  • Tracks benefit eligibility dates and notifies employees of entitlement eligibility under ACA guidelines.
  • Conducts benefit orientation meetings with individuals and groups as needed to introduce plan modifications and regulatory changes affecting participants.
  • Assist with reconciliation with health benefit claims issues on behalf of employees as appropriate.
  • Maintains a current working knowledge of benefit legislation, industry standards and best practices. Stays informed on most recent changes in healthcare reform and modifies processes and plan designs to ensure compliance.
  • Provides guidance and assistance to employees relative to the policies, practices, and procedures affecting their benefit eligibility and entitlements.
  • Maintains and updates the employee Benefits Summaries and information for a variety of benefit plans (medical, dental, ancillary, HSA).
  • Audits data records to ensure accuracy of reports and invoices; arranges for timely flow of benefits payments.
  • Conducts analysis and usage evaluations of benefit programs.
  • Maintains and updates the employee benefit programs to ensure changes are communicated timely; and Employee Retirement Income Security Act (ERISA) notices are posted in accordance with published specifications. May be required to send company-wide communication notices via e-mail.
  • Performs as liaison between employment benefit vendors and employees to ensure adherence to plan provisions and to resolve issues or to reconcile claims.
  • Responds and track unemployment claims and assists in protest hearings for ineligible claimants.
  • Develops and maintains the Benefits Administrators Procedural Manual and all standard operating procedures (SOPs) for assigned and specific benefit programs.
  • Reviews, determines eligibilities, and conducts employee enrollment meetings for health, dental, and other ancillary benefits.
  • Exercises decision-making and analysis of various conditions and circumstances affecting eligibility, continuation of benefits, and tracking of leave and premium payments for employees meeting FMLA eligibility requirements, Personal Leave of Absences, or other leave programs.
  • Manages the on-boarding and exit process requirements for enrolling and inactivating employees from the benefits database.
  • Ensures timely action of benefit transactions to limit liability, risk, and financial obligations of the company. This includes collection of late payments, employee premium deficiencies, etc.
  • Performs qualify control of invoice billings against HRIS information data and reconciles monthly.
  • Other duties as assigned

Additional Skills & Qualifications:

  • Four years of experience in a benefit analysis or administration role; and
  • A minimum of two (2) years recent experience ADA benefit eligibility in a variable hour employee environment.
  • Well versed in federal and state employment and leave laws as well as knowledge of relevant federal state regulations including HIPAA, FMLA, COBRA, etc.
  • Ability to design and generate queries, reports, and export from HRIS System
  • Strong customer service, detail-oriented, analytical, and reconciliation skills.
  • Advance experience with Excel (formulas, pivot tables, XLookup, etc.).
  • Proficient using Microsoft Office suite,
  • Experience using Paycom preferred
