JOB DESCRIPTION
JOB TITLE: Area Group Rooms Coordinator
DEPARTMENT: Reservation Sales
ACCOUNTABILITY: Area Director of Reservations
PURPOSE OF POSITION: Our area group coordinator works with our reservations, sales and events team, along with
revenue management to ensure we exceed the expectations of our group attendees and planners. This position is
responsible for accurate and detailed entry of group bookings, turnover, rooming lists, reporting, billing, amenity
coordination and communicating with various departments. The area group coordinator will support the 4 New England
properties - Mayflower Inn and Spa, The Vanderbilt Hotel, Wildflower Farms, and White Barn Inn.. The position is required
to cultivate and maintain effective relationships with all associates throughout the portfolio.

MANDATORY FUNCTIONS:
  • Enter rooming lists accurately and with detailed notes and proper billing.
  • As needed, runs GRC reports, pace reports, forecasting reports, prospecting reports and distributes accordingly.
  • Works with the Administrative assistants to turn contracts definite
  • Participates in weekly GRC pickup meetings with the revenue management team to ensure optimization of
hotels.
  • Enter VIP group reservations as needed
  • Keep current with all communication and hotel information.
  • Ensure appropriate guest follow up takes place in a timely and proper fashion, in accordance with the standard
operating procedures.
  • Maintain rate integrity in accordance with revenue management strategies.
  • Adhere to the company dress code.
  • Participate in department meetings as scheduled.
  • Must be willing to work a flexible schedule, and be available to work evenings, weekends and holidays.
  • Must be a cultural ambassador and participate positively in a sales team environment.
  • All other duties as assigned.
NEEDED ATTRIBUTES:
  • Strong computer skills.
  • Must be able to sit for long periods of time
  • Basic knowledge of Microsoft Office software suite.
  • Basic Delphi knowledge
  • Understanding of Property Management systems, such as Opera and HMS
  • Must be able to type 35 wpm
  • High school graduate or equivalent
  • People person – must possess a professional, positive presentation and strong motivation to provide exceptional
customer service
  • Ability to thrive and succeed in a fast-paced, demanding work environment; must be flexible to changes in
direction, routine and scheduling.
  • Ability to read and comprehend complex instructions and multitask
  • Strong verbal and written communication skills
  • Ability to use office equipment in an effective and efficient manner
  • Strong organizational skills
  • Ability to work as a team-player and accept assignments from multiple individuals
