The Administrative Specialist provides detail oriented, consistent, and professional administrative support to the department, ensuring the success and efficiency of recruitment and hiring process and providing daily programmatic assistance to community-based programs.
Under supervision of the Center’s Director of Operations and Program Lead, The Administrative Specialist completes administrative tasks, such as; posting job positions and reviewing applicants; communicating and coordinating with recruits and new hires; screening incoming calls and correspondence and responding independently when possible; preparing records such as agendas, notices, minutes, and resolutions for program meetings; arranging complex and detailed travel and event plans itineraries, and schedules; compiling documents for University Offices including HR, Compliance, and Purchasing including reimbursements; places orders, manages inventory, and receives deliveries as directed by Program Lead.
Responsibilities include: Provide proactive recruitment, hiring, and onboarding support to Center Operations Director including reviewing and posting job descriptions, monitoring applicants and assisting with applications, and maintaining close communication with applicants; assist all new hires with completing onboarding materials, including obtaining necessary certifications and employment verification; screens incoming calls and correspondence and responds independently when possible; arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and other support needed to ensure success; assists program leads with obtaining materials for daily operations, including ordering supplies, managing delivery, resolving issues with vendors, and tracking inventory; demonstrates or instructs work processes and procedures and utilization of Temple systems such as TU Marketplace, Kronos, Taleo and others within department as needed; manages supervisor and program lead’s calendar and independently schedules appointments; resolves varied problems under minimal supervision and within established policies and procedures; models a high level of professionalism and organizational ability, including awareness of and adherence to Temple’s Code of Conduct and University Employment Standards; interacts with teammates, community members, and justice-involved individuals in culturally humble and trauma aware manner. Performs other duties as assigned.
Required Education & Experience:
At least 2 years of directly related administrative and human resource experience. An equivalent combination of education and experience may be considered
- Strong customer service and interpersonal skills, along with the ability to interact with a diverse group of individuals
- Demonstrated commitment to serving North Philadelphia community.
- Excellent written and verbal communication skills.
- Demonstrated prioritization skills, multi-tasking skills, and organizational skills, along with the ability to be detail-oriented.
- Demonstrated ability to be self-motivated, adapt to change, effectively manage time and deadlines and work under stressful circumstances
- Demonstrated ability to operate all standard office equipment and software including MS Office.
- Responds to and resolves challenging situations in a calm and professional manner.
- Extensive knowledge of University hiring guidelines and practices, including hiring software and onboarding materials
- Demonstrated knowledge of Philadelphia demographics and previous experience in community engagement and working with marginalized communities
This position is assigned a hybrid work arrangement (on-campus and remote), the duration of this hybrid work arrangement is at the discretion of Temple University and the Department.
